This position is located in the Community Care Program of Social Work Service and provides support to the Homemaker Home Health Aide (HHHA), Community Adult Day Health Care (CADHC), Veteran Directed Care (VDC), Outpatient Respite (OR), and Community Nursing Home (CNH) programs located at VA Puget Sound Health Care System.
Duties
The incumbent's primary duties and responsibilities are to provide Social Work with all necessary administrative support pertaining to the Community Care Programs, including Homemaker Home Health Aide (HHHA), Community Adult Day Health Care (CADHC), Veteran Directed Care (VDC), Outpatient Respite (OR), and Community Nursing Home (CNH). The incumbent is responsible for providing administrative support on a daily basis for the Community Care Program.
Provides administrative assistance for the Community Care Program including mail, phones, scheduling and other clerical and administrative duties including providing administrative support for information and educational materials regarding the program, assisting with verbal and written correspondence regarding program services.
Reviews documentation and works closely with Community Care Program staff to review and issue authorizations for services. Maintains data base of referrals for all Veterans in Community Care Programs. Provides reports regarding service utilization to assist with maximizing service availability.
Monitors bills for each service program and reviews for accuracy prior to payment. The incumbent utilizes Fee Service Software for vendor set up and payments. Serves as a point of contact for receiving bills and ensures appropriate attention is given to each bill and payments are made. In addition, the incumbent serves as a point of contact for services and payments in other catchment areas, as authorized. Verifies the accuracy of all bills received from the community Fiscal Management Service and utilizes clinical computerized menus to create timely authorizations according to established policy. Develop working relationship with community partners and vendors to expedite payments and project costs for the Community Care Programs.
Creates and maintains tracking systems to include, but not limited to call logs, contract sources, patient utilization, vendor data files and statistical information in support of service programs. Acts as a backup for Community Care Program PSAs as needed. Develops and maintains various quality improvement tracking systems including the reviewing and tracking the accuracy of billing and payments.
Work Schedule: Monday - Friday 0800-1630

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 10/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to experience such as receiving and directing telephone calls and greeting visitors. Knowledge of rules and regulations governing the release of information (HIPPA) and Medical information, and computer security. Preparing correspondence, reports, and other documents based on information gathered from program files or other records. Create and maintain program files and records. Knowledge of various office automation software, processing procedures to produce a wide range of documents, such as graphs and statistical reports, tables within text, editing and reformatting electronic drafts, and updating and revising existing databases or spreadsheets. Knowledge of standard office equipment, such as computers, copiers, fax machines, and office automation systems to perform a substantial range of office automation support. Proper use of grammar, spelling, capitalization, punctuation, and commonly used specialized medical terminology to prepare written material correctly. Typing Proficiency: In addition to meeting specialized experience as described above This position requires the skills of a qualified typist. In addition to meeting the experience, you must be able to type at least 40 words per minute.

Physical Requirements: The work requires no special physical demands. It is sedentary in nature, consisting of frequent use of the phone, computer keyboard and mouse performed in a comfortable posture. It may involve some walking, standing , bending, or carrying light items.
