The Supervisory Administrative Support Assistant will serve as the administrative manager for the Program Manager, Community Care Programs at VA Puget Sound Health Care System at the American Lake Campus in Tacoma, WA.
Duties
Evaluate and monitor administrative activities for the specialty section and makes recommendations for improvements.
Evaluate, process, and/or make recommendations for effective budget changes.
Conduct reviews to address systems issues which arise in the normal operation of the section or that arise at the time of developments or changes in the section.
Prepare data for suspense reports, including costs of care in each program, average daily census, and auditing data related to payment processes.
Maintain the sections/departments historical and projected workload data for tracking and planning purposes.
Provide the bridge between the technical knowledge and clinical coordinators with fund control point management and budgeting, forecasting, and fund management activities.
Coordinate the acquisition of supplies and equipment for the assigned section and the equipment inventory of all property assigned to the sections including completing the equipment inventory list, preparation of equipment turn-ins, accounting for lost equipment and notifying the Administrative Officer of any future equipment needs.
Serve as the point of contact for the section for specialty specific information, reports completion data pulls, controlled correspondence, and local VISN, or national suspense items.
Plan the work to be accomplished by subordinates by setting and adjusting short-term priorities and prepares schedules for completion of work.
Identify developmental training needs of the employees and providing or arranging for the needed development and training.
Ensure that staff is aware of the availability of Career Development Counselors through the Center for Education and Development and puts a system in place to notify staff of education and training opportunities.
Other duties may be assigned.
Work Schedule: Monday to Friday, 8:00am-4:30pm
Telework: Ad-hoc. Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-8 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to manage administrative resources in an organization, including budget management, contract procurement, Human Resources, and space/capital equipment management; apply basic budget and accounting principles and techniques; use analytical tools and techniques to gather, analyze, and report and/or present information in a cohesive and relevant format; develop new or modified administrative or clinical programs, work methods, management processes, guidelines and procedures, and the ability to communicate in oral and written form in order to prepare and present recommendations and solutions regarding complex issues. OR,
Education: Applicants may substitute education for the required experience. As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. Two full years of graduate education or a master's degree meets the requirements for GS-9. One year of full-time graduate education is considered to be the number of credit hours that the school attended has determined to represent 1 year of full-time study. If that information cannot be obtained from the school, 18 semester hours should be considered as satisfying the 1 year of full-time study requirement.
