This position is organizationally aligned to Pharmacy Service at the VA in Danville, IL. The primary purpose of this position is to provide administrative support to Pharmacy Service under the general supervision of the Administrative Officer and the Chief of Pharmacy.
Duties
Duties Include:
Performs a variety of administrative and support type duties in such areas as administration, records and files management, travel, and reports. Incumbent provides guidance and assists organization personnel on all of the above, as well as other related administrative functions.
Exercises a thorough knowledge of the regulations, procedures, and processes of government administrative management functions and the organization's structure and functions; and a good working knowledge of the various functional staff and support office functions and services provided in coordinating, initiating, and responding to actions required.
Schedules appointments, coordinates meetings, and/or schedules conferences. Provides general clerical services relative to calendar maintenance such as updating calendars and recording appointments and arranging for meetings. Schedules meetings for the Service Chief, Associate Chiefs, Supervisors, and others based on knowledge of preferences and current commitments.
Assists the Pharmacy Department by collecting data, tracking required measures of performance, and running various office reports.
Supports Pharmacy staff in day-to-day operations, which may include travel requests for staff.
Assists the Administrative Officer (AO) in preparing procurements requests, evaluating proposals to work, writing sole source justifications, and maintain contracting records.
Assists the Contracting Officer's Technical Representative (COTR) with managing procurement and contracting for the service. This may include preparing procurement requests, evaluating proposals for work, and/or maintaining procurement and contracting records.
Composes, drafts, and edits correspondence.
Receives visitors and telephone calls in a professional and confidential manner. Directs patients, visitors, and callers to appropriate staff member based on specific request or by ascertaining the nature of the call.
Serves as Primary Timekeeper for Pharmacy service working in conjunction with the Clinical Pharmacy Technician who provides timekeeping for the Clinical Pharmacy Specialist.
Serves as Personal Identify Verification (PIV) sponsor for Pharmacy Service. Serves as Key Coordinator in ordering, receiving, maintaining and delegating door keys and combinations to staff, maintaining records and ensuring security for all pharmaceuticals and supplies stored in Pharmacy Service.
Assists in the preparation of documents for recruitment, selection, orientation, training, and evaluation of clinical and clerical staff, as well as organizing and coordinating interviews of candidates.
Processes all new employee paperwork to include establishment of and delegation of appropriate computer menus.
Requests computer access codes for employees and students.
Maintains confidentiality of sensitive employee and patient information.
Assists the Pharmacy ADPAC/Informaticist and the Pharmacist Procurement Supervisor. Assists the Administrative Officer and the ADPAC in assignment of EPAS functions.
Maintains file and follow-up on Pharmacist and technician licenses.
Performs other related duties as assigned.
Preferred Experience: Administrative and Timekeeping experience. Detain oriented.
Work Schedule: Monday-Friday 7:00am-3:30pm

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work, however, there
may be some walking; standing; bending; carrying of light items such as papers, books, small parts; escorting patients and visitors throughout the medical center; directing staff to meeting areas.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/05/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing a variety of administrative and support type duties in such areas as administration, records and files management, travel, and reports. Provides guidance and assists organization personnel on all of the above, as well as other related administrative functions. Exercises a thorough knowledge of the regulations, procedures, and processes government administrative management functions and the organization's structure and functions; and a good working knowledge of the various functional staff and support office functions and services provided in coordinating, initiating, and responding to actions required.
