This position is responsible for a broad range of administrative and clerical duties associated with multiple, special program coordinators. The Education & Learning Service is comprised of Education & Learning staff who work both within Education administered programs and programs administered by other services.
Duties
Assists the AO in managing the Chief's daily schedule.
Provides scheduling oversight and calendar maintenance, including meeting and conference coordination. Independently schedules supervisor/staff member time based on knowledge of preferences and current commitments.
Reminds supervisor/staff members of meetings and provides printed read ahead material when necessary.
Develops new plans or schedules using standard references. Identifies objectives based on understanding of program and overall priorities.
Determines specific steps, input required, and /or meetings. Identifies schedule and milestones; and estimates resources required.
Coordinates travel and training for the Chief, assisting with administrative enrollment, travel reservations, itineraries, requests, and voucher reconciliation.
Coordinates meeting spaces, IT support, and requirements.
Attends meetings, prepares meeting minutes, and follows up on action items with appropriate staff members independently.
Greets, assists, and refers visitors. Answers, screens, and refers phone calls.
Liaison between the supervisor and subordinate units.
Composes, processes, and tracks incoming and outgoing materials such as correspondence, reports, and memoranda.
Consolidates reports submitted by staff.
Screens correspondence to determine what action to take, whether to handle personally or refer to the supervisor or other staff.
Reviews correspondence for correct format, grammar, spelling, and completion. Routes and tracks correspondence, independently following up as needed.
Writes and proofreads correspondence for the Chief.
Creates PowerPoint presentations and generates reports requested by the Chief.
Prepares packets for time sensitive documents such as congressional inquiries, facility and VISN e views, and issue briefs.
The congressional complaints will be assigned to the specific provider involved with the inquiry.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/03/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in the following: receiving and screening call and visitors; reviewing incoming correspondences to determine what course of action is required; taking minutes for various meetings, types correspondences, and reports; organizes computerized databases and spreadsheets; managing work schedules and unit time keeping responsibilities; generates reports to determine overtime expense, leave use pattern; tracking work related accident and illnesses, education and training, external audit findings, performance improvement initiatives, equipment purchasing and management of supplies; ensuring credit cards purchases are completed, reconciled and approved; assisting with preparing the fiscal budget; tracking quarterly and monthly expenses; ensuring expenditures and monthly billing statements and purchases are reviewed; taking corrective action to correct billings; equipment custodian for the Safety Service ensuring that spot inspections for all service equipment are accounted for by performing inventories[ processing equipment tum-ins and transfers.

Physical Requirements: See VA Directive and Handbook 5019. The position involves work that is mainly sedentary but requires some bending, walking, standing and lifting/carrying (under 15lb) of supplies, patient records, staff and patient mail. Some assignments may involve more frequent walking, but these assignments may involve more frequent walking, but these assignments require no unusual physical demands to perform work. The incumbent will need to have the ability to verbally communicate and hear (aid permitted) using a telephone and must be able to type and operate computer equipment as an essential part of their position. The incumbent must be able to work closely with internal and external customers in a face to face setting.
Work Environment: Work is performed primarily in a Office setting; adequately lighted, temperature controlled, and ventilated. Office temperatures fluctuate periodically; involves everyday risks or discomforts which require normal safety precautions typical of such places as clinics, offices, meeting and training rooms or libraries; exposure to noise and dust on occasion.The incumbent may occasionally be exposed to patients who are combative secondary to delirium, dementia, or psychiatric disorders; Emotional and Mental Stability: The incumbent must be a mature, flexible, sensible individual capable of working effectively in stressful situations, able to shift priorities based on patient needs.
