This position is organizationally aligned to Mental Health Service at the VA Illiana Health Care System. You provide assistance to the administrative leadership of the service and function as a program support assistant to the service located across VA Illiana Healthcare System catchment area taking initiative in certain aspects of program planning and development, managing resources and establishing and maintaining communications with other services.
Duties
Administratively manage the PCMM (Patient Centered Management Module) position set up, staff and FTE assignment, as well as patient assignments for all mental health locations.
Gather information from CPRS (Computerized Patient Record System) to move large groups of mental health patients to different teams utilizing multiple assignment/ reassignment tools.
Provide administrative, technical, analytical, and Automated Data Processing (ADP) support as the Automated Data Processing Applications Coordinator(ADPAC).
Provide technical assistance for staff regarding computer/printer problems and refers issues that cannot be resolved to OI&T.
Work closely with the facility's credentialing department tracking Focused Professional Practice Evaluation (FPPE) and Ongoing Professional Practice Evaluation (OPPE) forms and routing for signatures ensuring deadlines are met.
Coordinate and track data for performance appraisal, competency assessment reports and provider proficiencies for the Mental Health Service Chiefs.
Track forms and creates a database to ensure the timeliness of time sensitive materials including all program requirements, education requirements, FPPE/OPPE form due dates and Action Items.
Create and maintain a resource guide for the Mental Health Service (MHS) to include information on all MHS programs and maintain an updated list on all outside Veteran resources.
Assist in preparing procurements requests, evaluating proposals to work, writing sole source justifications and maintaining contracting records as the Mental Health Service Fund Control Clerk.
Alternate Timekeeper. Posts, examines, computes and balances hours on time and leave records for all MHS. Answers questions on leave regulations, procedures, and balances. Monitors Overtime, Comp Time, Family Leave etc.
Assist with orientation of new employees to the service, which involves processing, review of MHS policy and procedures as well as computer training assistance.
Prepare weekend inpatient fee basis provider schedules.
Work Schedule: 8:00am to 4:30pm

Physical Requirements: The work is primarily sedentary with some walking to other areas of the medical center. There are no special physical qualifications, but the position involves carrying light items such as binders, reports, and files.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information
processing documents and reports;
establishing, updating and maintaining office files and records; performing office automation systems and word processing using Microsoft Office suite of products (Excel, Power Point, Access, Word, SharePoint;
answering telephones, referring visitors, and providing information.
Typing Proficiency: 40 words per minute
There is no educational substitution for the GS-06 level.
