This is an Program Support Assistant (OA) job opportunity at the Atlanta VA Medical Center.
Duties
The Program Support Assistant (OA) performs a variety of clerical work as it pertains to the general mission of the Facilities and Engineering service line, with a primary emphasis on overseeing the work order/preventative maintenance program and serving as backup support for the Budget and Fiscal Clerk. Duties include, but are not limited to, the following:
Entering complex work orders and requests for Medical Center supplies and material using the Automated Engineering Management System/Medical Equipment Reporting System (AEMS/MERS).
Verifying accuracy of information input and providing hard copy of information as requested.
Preparing reports and summaries of maintenance and repair cost data within specified timeframes to assess costs for various activities, buildings, etc.; analyzing summaries and providing input as needed.
Receiving all approved work orders, assigning activity numbers, cost centers, work center numbers, etc. for each request, transmitting copies of work orders to section supervisors for accomplishment, maintaining log of completion.
Receiving complex emergency work order requests by telephone and notifying proper shop of the necessary action to remedy the request in an efficient manner; reviewing work order program through status report and analyzing any areas of deficiencies, recommending appropriate corrective action.
Maintaining departmental annual equipment inventory in accordance with the non-expendable property responsibilities.
Using the computer and Microsoft Office applications (Word, Excel, PowerPoint, Outlook) to create, transmit, and receive data.
Performing general office duties, such as ordering supplies, maintaining records management database systems, creating and updating office reports, etc.
Work Schedule: Monday - Friday 8:00AM - 5:00PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/26/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 grade position you must have served 52 weeks at the GS-5 grade. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your Time-In-Grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate that you possess one year of Time-In-Grade, as required by this job announcement. In that instance, you must provide an additional SF-50 that clearly demonstrates one year of Time-In-Grade.

You may qualify for this position based on your experience as described below:
Specialized Experience: One (1) year of specialized experience equivalent to the next lower grade (GS-5) in the Federal service or equivalent. Qualifying specialized experience for this position includes:
Performing general office duties, such as answering phone call and email inquiries, ordering supplies, maintaining records management database systems, and creating and updating office reports.
Using computer and Microsoft Office applications (Word, Excel, PowerPoint, Outlook) to create, retrieve, and transmit data.
Reviewing work orders for accuracy, transmitting copies of work orders to section supervisors, and maintaining log of completion.
Preparing reports and summaries of maintenance and repair cost data within specified time frames.
Reviewing work order program status report, analyzing areas of deficiencies, and recommending appropriate corrective action.
Typing Proficiency: In addition to meeting the specialized experience requirement, applicants must self-certify whether they possess at minimum 40 words per minute typing speed proficiency. Applicants may meet this requirement either by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized by the Office of Personnel Management (OPM) local office to issue such certificates, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. VA may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Physical Requirements: The work is mostly sedentary but may include some walking, standing, bending and carrying of light objects such as files, books, manuals, etc. There may be occasional travel required between the main Medical Center and the surrounding CBOCs for support and/or training purposes.
