This Administrative Support Assistants position is located in Facilities Management Service at the West Haven location. This position is a full-time at 40 per week.
Duties
Duties include but are not limited to:
The administrative support assistant must be knowledgeable of various Medical Center personnel memoranda in order to ensure that pertinent requests are appropriately documented and routed through proper channels (i.e. requests for advanced leave, leave without pay, OWCP, etc.).
Drafts on PC correspondence, reports, procedures, memorandums, and letters for service, staff and other support personnel. Collect data for preparation of various reports and assists staff in completing reports.
Is designated as a timekeeper/back-up timekeeper for Facilities Management Service 16 T&L's and must have knowledge of VATAS timekeeping system.
Ensuring directives and instruction material pertaining to administrative practices and clerical procedures are in order and new, revised or amended procedures for such matters is updated and other staff members are made aware of changes.
Responsible for issuing and tracking of government vehicles both GSA leased and VA owned and the credit cards attached to each vehicle.
Performs a wide variety of administrative tasks associated with maintaining and supporting the work performed within the Facilities Management Service. Such work includes a variety of administrative functions necessary to the smooth management of an office and ranges from correspondence and information control to ordering/tracking equipment, supplies and services.
In addition, the position may act as the primary liaison between the program office and administrative offices outside the organization.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/28/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks. (Must be reflected on your resume.). OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
