Duties
As a Management Assistant (OA), you will:
Create and/or maintain various records of organizational and operational charts, function statements, and staff levels. Search historical files for readily available information. Maintain established records of management analysis data and reports, provide standard explanation of procedures and requirements, identifies clear errors in data, and compile management data into prescribed formats.
Recognize and extract pertinent information from various sources (e.g., manual logs and/or software programs); prepare, verify and maintain statistical data relating to workload and staffing for historical and forecasting analysis purposes, correct obvious mathematical errors, and assist the staff in preparing regular and ad hoc studies for assigned office. Assist management analyst or assigned staff member with extracting information from tracking systems. Locate missing information. Prepare weekly, monthly, quarterly, and annual statistical reports. Is able to extract ad-hoc reports from the assigned database(s) for use in analyzing office inventory. This analysis includes case openings, case closings, and timeliness in case processing.
Answer inquiries from audit managers, program managers and similar personnel concerning case status and basic program review procedures. Compose and prepare routine correspondence of a nontechnical nature. Produce a variety of written documents utilizing varied and advanced word processing software programs, working from handwritten drafts, edited copies, or electronic files created by staff members. Final copies may be in one of several formats, each requiring the use of advanced features to perform extensive editing and frequently involving specialized terminology. Create copies, edits, makes insertions and deletions, and moves text throughout a single document and from one electronic file to another. Store, retrieve and print a variety of documents to include a variety of formats such as charts, special symbols and tables within text. Ensure documents are in the proper format, and that spelling, punctuation, capitalization, pagination, and grammar have been verified. Consult with document author to resolve questionable material.
Receive, open, time stamp, review, and distribute incoming mail and faxes. Review mail determines if it should be brought to immediate attention of the supervisor or if it should be given to other members of the staff. Determine proper distribution of priority mail and proper destination for mail erroneously sent to the wrong office. Establish and maintain a variety of chronological files and documents, correspondence, and other material, cross-references files when necessary. Assist in the maintenance of the case file area. Schedule and makes all necessary travel and hotel arrangements for the office staff and non-office staff. Arrange for large meetings including finding mutually satisfactory times, reserving meeting rooms, notifying participants and preparing post reports when requested.
Answer inquiries from audit managers, program managers and similar personnel concerning case status and basic program review procedures. Accurately and efficiently prepare, produce and assemble a variety of written documents utilizing various software applications. Present correspondence for review in proper format and grammar. Receive visitors and phone calls. Based on training, determines what information can be divulged in ascertaining the nature of calls. Control visitor access and implements security procedures.

Basic Requirement for Management Assistant (OA): Office Automation Skills: This position requires office automation skills. Some examples of office automation software include electronic spreadsheets, database management, desktop publishing, electronic calendar, and electronic mail.
For GS-07:
Specialized Experience: Your resume must detail at least one year of specialized experience which includes: Creating and maintaining records, charts, databases, and reports pertaining to management analysis. Assisting staff with extracting information for status and statistical reports and studies. Preparing written documents utilizing various software applications. Screening calls and visitors. Coordinating and scheduling meetings to support office functions. Answering inquiries concerning case status and basic program review procedures.
This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.

You will receive credit for all qualifying experience, including volunteer experience. One year of experience refers to full-time work; part-time work is considered on a prorated basis. Time in Grade Requirement for GS-07: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06).
