The Battle Creek VA Medial Center is recruiting for a Program Support Assistant. The Program Support Assistant (PSA) is a staff position under the Assistant Chief, Quality within Quality Resource Service at the Battle Creek Veterans Affairs (VA) Medical Center in Battle Creek, MI.

Duties

The incumbent provides direct support and administrative assistance for the management of all internal/ external patient transfers, admissions or discharge services and analytic functions by providing support for the Transfer and Admission Coordination (TAC) Office. The employee will provide support the efforts to evaluate and improve the efficiency, effectiveness, and productivity of the Transfer and Admission Coordination Office. The employee's duties may involve gathering, preparing, sorting, processing, and analyzing reports, records, directives, and forms. The position encompasses researching information, planning, contacting, advising, assigning, and providing guidance on administrative and clerical actions within the Transfer Coordination Office. Duties include but not limited to: Coordinates with the Transfer Coordinator, clinics, services, physicians, and social workers to assign patients to Wards/Beds and coordinate appointments. Review patient records to determine/verify patient eligibility and appropriate bed assignments. Acts as a liaison for interfacility transfers, nursing home placements and Domiciliary/Residential placements. Maintains the Bed Management System ensuring that data is entered and removed correctly, accepts bed requests, monitors bed availability, monitors pending discharges, and assists with organizing and arranging external patient transfers. Calls wards, returns/makes calls to outside facilities and answers incoming calls to facilitate admissions, transfers, or re-admissions with patient placement Sends and receives placement packets and tracks timely clinical review completion Tracks soiled beds along with Environmental Management Service to improve the turn-over time. Follows patient movements to reserve patients' bed. Communicates current bed availability to facilitate efficient patient flow. Assist in training all personnel to the Bed Management System to improve the flow of patients throughout the VA Hospital. Attends patient flow meetings and unit huddles as appropriate. Serve as the BMS Automatic Data Processing Application coordinator (ADPAC) whose duties include receiving and communicating to medical facility staff information regarding BMS. (maintains medical facility settings under site options; adds and removes units; adds and edits users and ensures appropriate application access; serves as or designates a BMS trainer for the the medical facility; ensures sufficient backup and contingency procedures are in place when BMS is offline or during system outages. Performs basic analyses and/or evaluation of transfer and admission coordination office in support of the organization's patients' flow using BMS or other software programs. Provides information and recommendations to management on process improvements. Obtains, organizes, files, and retrieves reports. Prepares daily admission wait time reports and tracks trends. Attends and maintains computer skills on a variety of software programs. Coordinates data from a variety of sources, reviews documents, reports and ensures data entry is complete and accurate, enters pertinent information into an automated tracking system. Maintains automated system of program-specific data to track items such as admission and discharge reports, maintains and manages this database on an on going basis to prepare/assist in preparation of reports. Work Schedule: Monday-Friday 8:00am-4:30pm Position Description Title/PD#: Program Support Assistant/PD91803O Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. There may be some walking; standing; bending; carrying of light items such as papers and/or books or manuals. The position may also require stooping, reaching, lifting, pulling and other moderate exertion or strain. Incumbent may occasionally have to walk some distance to a meeting and use office machines. Work Environment: The employee works as a team member with associated staff within the facility and department. The employee must work with both internal and external staff, patients and/or family members. The work area is adequately lighted, heated, and ventilated. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Virtual: This is not a virtual position.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Administrative and clerical work of an office, utilizing word processing, spreadsheets, database, and software to manage information; Manages supplies and equipment by interfacing with supply, maintaining time and attendance records, performing data collection and preparing reports; and customer service- Receiving calls and visitors and directing them appropriately. There is no education substitution for the GS-6 grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
