This Program Support Assistant position is within the Specialty/Acute Care Service (SAC) at the Bedford VA Healthcare System, located in Bedford, MA. It is full-time at 40 hours per week.
Duties
Serves as the Program Support Assistant in the Specialty/Acute Care Services (SAC) program section at the VA Bedford Healthcare System in Bedford Massachusetts. The Program Support Assistant position is pivotal in deriving and analyzing qualitative and quantitative information from which the most cost-effective, efficient, and highest quality cleaning services can be implemented. Duties include, but are not limited to:
Performs a variety of duties in support of data entry, collections, analysis and preparation of reports for the program.
Performs work involving the collection of compilation and/or tracking of data statistical information in support of Specialty and Acute Care Services.
Prepares meeting agendas, maintains background data of agenda items. Serves as a recorder and produces/distributes meeting minutes.
Maintains the schedule of all committee meeting and reminds committee members of meeting dates and times.
Prepares educational and travel support request for all staff.
Monitors staff completion of continuing education requirements.
Maintains documentation of Continuing Medical Education (CME) or Continuing Education Units (CEU) credits for the staff training records.
Assists the Administrative Officer with computer access for new staff, students and WOC appointments, ensuring that prerequisite training and required documents are completed.
Helps with Personal Identification Verification (PIV) manager and sponsor for various of department through out Specialty Care such as Dental, Optometry and Ambulatory Care (staff, WOC and students).
Assists the Administrative Officer in coordinating details of personnel management within Specialty and Acute Care related to personnel action, performance evaluations and proficiency reports.
Serves as the primary timekeeper of the Specialty Acute Care Service Line.
Maintains complete administrative filing system, consisting of correspondences, polies, reports management procedures etc.
Sees that all required licenses and certifications for all providers and licensed staff in Specialty and Acute Care are up-to-date and that certified copies are provided to the office of the Chief Medical Officer, Human Resource Management and maintained in the Specialty & Acute Care Service personnel files.

Current Federal employees must submit copies of their most recent SF-50, (Notice of Personnel Action). In some cases, more than one SF-50 may be required to show a higher grade previously held.
This position is in the Competitive Service.
Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C. 4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System. Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You must qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of qualifying specialized experience typically include but are not limited to:
Using various management tools and techniques for gathering, analyzing, and reporting data
Presenting seemingly unrelated information in a cohesive and relevant format
Initiative in planning and completing assignments.
Understanding composition, grammar, spelling and punctuation
Arranging all typed materials so that it conforms to formats for publication that may be highly stylized and complex.
Using a variety software programs such as Microsoft Word, Excel, PowerPoint, and AdobePro.
Operating office equipment i.e., photocopier, printer, fax machine, multiline telephone, calculator, dictation equipment and multi-function devices.

Physical Requirements: The work area is usually an adequately lighted, heated, and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. Typically, sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books.
The work requires mostly keyboarding/computer work to prepare correspondence, update databases, emails. Also, some filing and light walking to retrieve/deliver letters or to meetings.
