The incumbent serves as is the Administrative Support Assistant to the Service Line Manager of the Social Work Service Line within the Atlanta VA Health Care System. The incumbent works closely with the clinical leadership and the Administrative Officer to ensure the administrative/clerical operational goals of the service line are met in a timely manner.
This position is covered by AFGE bargaining unit.
Duties
Major duties of Administrative Support Assistant include but are not limited to:
Screens all calls manner and prioritized based on urgency. Calls that can be handled independently are processed and Veteran/Caregiver concerns are addressed in a timely manner. Calls that are clinical in nature are properly dispatched to the appropriate SWSL Veteran Care Unit staff members to ensure prompt follow up.
Handle administrative requests and queries for information and resolve or assist in resolving a variety of complaints.
Communicates with internal and external customers with diverse backgrounds.
Take appropriate independent action and provide follow-up of the issues to monitor the effectiveness of any program changes.
Tasks include office automation such as word processing, databases spreadsheets, recording time and attendance.
Responsible for tracking deliverables and trending follow up action items from leadership office, VISN and National Office suspense items and improvement initiatives and all other data tracking as assigned.
Responsible for performing tasks related to word processing for the office, including preparing, assembling and proofreading correspondence, reports and manuscripts in a manner consistent with established formats and guidelines.
Handles inquiries and complaints from veterans presenting in person to the Social Work Service Line admin Office and assists in resolution of complaints.
Meets the needs of customers while supporting VA missions. Consistently communicates and treats customers (veterans, their representatives, visitors, and all VA staff) in a courteous, tactful, and respectful manner. Provides the customer with consistent information according to established policies and procedures. Handles conflict and problems in dealing with the customer constructively and appropriately.
Performs all timekeeping functions for assigned personnel. Works collaboratively to provide technical expertise and serve as a POC on matters related to timekeeping, including leave administration, travel, and training.
Tasks include office automation such as word processing, databases spreadsheets, recording time and attendance.
Ability to communicate verbally and in writing with a variety of people from different backgrounds and different levels of understanding. This may include clerical, technical, administrative, and professional (medical and non-medical) people at all levels in the agency.
The incumbent is responsible for providing administrative support for the offices. This includes managing and ordering office supplies and receiving and sorting mail.
Work Schedule: Monday - Friday 7:30am - 4:00pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience applying office automation such as word processing, databases spreadsheets, recording time and attendance; experience with the ability to communicate verbally and in writing with a variety of people from different backgrounds and different levels of understanding; experience with providing administrative support for the offices, taking appropriate independent action and providing follow-up of the issues to monitor the effectiveness of any program changes; managing and organizing information; experience with filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms.

Physical Requirements: The work is performed in an office setting which require normal safety precautions typical for offices and meeting rooms. The work area is adequately lighted, heated, and ventilated.
