This position is located in the Division of Clinical and Community Services (DCCS). The incumbent in this positions provides a variety of administrative, analytical, and customer service support for the division. The incumbent in this position reports to the Director, DCCS.
Duties
Administrative Duties: Manage the flow of office work for the Community Health Branch Chief, HP/DP Consultant, and DCCS staff. Ensure that administrative work and activities are completed timely and accurately. Ensure mail delivery and distribution are performed timely. Use and manage software and electronic processing systems for preparing correspondence, filing, and completing office responsibilities. Maintain calendars, scheduled appointments, and prioritized tasks accordingly. Assist in making necessary arrangements for conferences, meetings, and conference calls.
Customer Service: Serve customers to assess needs, provide assistance, resolve problems, satisfy expectations, and answer questions. Receive visitors for the Division and escorts them to the appropriate destination or staff member. Answer and field telephone calls and emails by determining the nature and purpose of the communication. Direct customers to the appropriate staff member.
Program Support and Acquisition Tracking: Provide information to staff through research and evaluation of IHS guidelines, policies, forms, and processes. Assist with tracking and monitoring contract deliverables and annual budgets, as well as standards of performance, to ensure quality performance for the duration of each contract. Assists with developing timelines of events for each contract and ensure timely submission of requests for exercising additional option years. Assists with implementing processes for orderly closeout of contracts, as needed.

In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-07: Knowledge of mission objectives, goals, plans, and administrative secretarial activities which entail having the responsibility of deadlines and commitments in an office setting. Setting up meetings, and conferences, arranging official government travel documents for multiple staff members in an effective timely manner, preparing various highly confidential correspondence and reports, and preparing office and budget-related projects. Provides clear, concise, and effective responses to routine inquiries for information, etc., and/or answering questions on program operations including technical matters.
GS-08: Serving as a lead in an office environment handling multiple responsibilities, deadlines, and commitments. Applying routine and non-routine administrative support activities utilizing policies, procedures, regulations, and guidelines. Monitor and track budget expenditures for office supply and services acquisition and management action items.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
