Incumbent provides administrative assistance to providers and works closely with the Charge Nurse Managers and Practice Group providers on coordination of care for their areas. Responsible for completing all administrative duties associated with the deliver of patient care.

Duties

Major duties include but are not limited to: Writes performance standards, evaluations, initiating action on disciplinary matters, awards, labor relations, approval of leave, work schedules, and providing coverage. Evaluates and writes performance appraisals and provides feedback to employee concerning performance. Executes service activities and directs the activities of this position. Runs daily reports and ensure required actions are completed correctly. Monitors work processes to prevent ineffective work practices. Develops rapport and maintains relations with Medical Center personnel at all levels, clinically and administratively. Works with medical support staff and clinical staff to ensure optimal Veteran access to care utilizing clinic wait times and review of eligibility criteria for Community Care. Promotes culturally diverse work force. Informs higher level supervisors of anticipated vacancies, increased workload, or other circumstances to obtain replacements, temporary help, or additional staff. Prepares responses to communication, complaints, or inquiries from Veterans or their representatives, family members, service organizations, or the like in all matters concerning all Health Administrative functions. Continuously evaluates opportunities to improve customer service and process quality. Monitors metrics to ensure we are within guidelines. Trains staff on daily responsibilities. Writes and/or ensure compliance with standards of work and operating procedures. Assigns work to Medical Support Assistant Staff on a daily basis to ensure support for clinical areas and Veterans. Certifies scheduling audits. Work Schedule: Monday - Friday, 7:30 am - 4:00 pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/11/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Making sound and well-informed decisions; perceiving the impact and implications of decisions; committing to action, even in uncertain situations, in order to accomplish organizational goals; causing change; planning, coordinating, and executing business functions, resource allocation, and production; persuading others; developing networks and coalitions; gaining cooperation from others to obtain information and accomplish goals; negotiating/finding mutually acceptable solutions; building consensus through give and take; effectively planning, implementing, and evaluating change in an organization. (NOTE: This experience must be well documented in your resume) OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work (Transcripts required). OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond (1) full year of graduate study. (The applicant's first year of graduate study is not qualifying for GS-9). If you qualify by a combination, your experience must be detailed in your resume and transcripts are required.. You will be rated on the following Competencies for this position: Decisiveness Administration & Management Decision Making Influencing/Negotiating Change Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is a mixture of an office environment and a large clerical/administrative office complex.
