The Program Support Assistant reports to Dental Chief, Administrative Officer and clinical leaders under the Office of the Chief of Dental Service. The work consists of duties utilizing administrative and technical skills, and positive communication skills with internal and external customers.

Duties

Prepare monthly/quarterly reports for the Dental Chief, Administrative Offer and clinical leaders on budgets and performance measure criteria. Prepares charts, graphs, and narrative information to assist the Dental Chief and Administrative Officer in the management of dental services to ensure efficiency and productivity of the program. Performs work involving the collection, compilation and /or tracking of data and statistical information for workload requirements, funding estimates and expenditures. Participate in quality management, performance improvement and strategic planning of the Dental Service. Involved in recommending improvements in processes and workflow, improving the efficiency of administrative processes and indenting required resources. responsible for the facilitation of contract Dental provider's services. Responsible for management of contract vendor scheduling and receiving of report. This incumbent functions as a computer specialist in the training and implementation of the Computerized Patient Record System (CPRS). Provides ADP/VISTA support training and coordinating with each section on the integration and the consistent implementation of various programs, routines, and procedures at the service level. Training responsibilities include all yearly residents for the entire range of applications, packages, including CPRS, Progress notes, Clinical Reminders, iMed Consents, and Dental Record Manager Plus. The incumbent establishes strong communication and working relationship with the assigned service(s) leadership team, assisting with all universal ADPAC functions as well as those specialized ADPAC functions that are unique to the service. He/she works with the assigned service(s) assisting in generation of monthly workload reports including consult completion, missed opportunities, clinic wait times, clinic utilization and encounter completion. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/24/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Prepares and tracks documents and correspondence to coordinate actions and close action items; Assists management and supervisors with human resources (HR) processes; Provides administrative orientation and training to new employees; Assists in the formulation and execution of budget estimates and assists with preparing and updating the budget spreadsheets which are used in budget briefings; Serves as the timekeeper; Reviews and approves travel authorizations and vouchers; Assists staff on entering travel requests. Experience with federal government travel regulations; Previous administrative experience preferred. Experience with health professions training programs. Compentecy folder filing and upkeep staff. Monitors trends in scheduling issues, patient care access and demand, consult managementPosition Description and other relevant data. Maintains calendar and schedules appointments, arranges conferences, departmental meetings. Prepare spreadsheets for tracking and trends. Participate in quality management, performance improvement and strategic planning of the Dental Service. Knowledge of an extensive body of rules, policies, procedures or operations. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The purpose is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
