This Program Support Assistant (Caregiver Support) position is in Social Work Service at the Providence VA Medical Center. This position is a full-time position at 40 hours per week.

Duties

The purpose of this position is to perform administrative and program analysis work and ensure program compliance for Veterans within the VA Providence Healthcare System's Caregiver Support Program (CGSP). In addition, the position provides general administrative assistance for the service. The primary duties of the Program Support Assistant include but are not limited to: Serves as the point of contact for the CGSP and provides vital, sensitive, administrative program information to the caregiver and/or Veteran, VA Providence Healthcare System approved providers, VA Providence Healthcare System staff, as well as our community partners. Assists the service line and acts as the liaison to provide coordination and collaboration of services throughout VA Providence Healthcare System. Serves as a point of telephonic contact for receiving calls for the CSP programs and will be responsible for directing them to the appropriate program representative. Maintains and tracks the program national database and local census. Works independently on ongoing projects and continually updates and analyzes records for providing accurate and timely information. Assists with performance improvement assessments to monitor cases and improve the continuity of services provided. Processes all incoming correspondence, faxes, and action documents and obtains hard copy patient records. Prepares and coordinates correspondence for the Caregiver Support Program and all VISN 1 and local level appeal boards, congressional inquiries, and other national suspense's, inquiries, and actions. Utilizes multiple software programs to develop and prepare marketing materials. Prepares the budget and completes monthly, quarterly, and annual reporting to meet National program requirements, monitors execution of national program funding. Maintains program records and all policies, procedures, and manuals to meet the Joint Commission and VHA standards, and records management regulations Responsible for establishing, monitoring, and maintaining clinical profiles in caregiver support. Supports Social Work Service's administrative staff with time keeping responsibilities as needed, using the automated system and in accordance with established procedures. Uses and accesses the various VA and service automated systems and software. Assists with preparing and submitting work orders (i.e., account issues, printer issues, etc.) for CGSP staff. Work Schedule: Monday - Friday, 8:00am - 4:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Virtual: This is not a virtual position. This position is covered by locality-based comparability pay. This position is in the Competitive Service. Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C. 4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System. Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment. Current and former Federal employees must submit copies of their most recent SF-50, (Notice of Personnel Action). The SF-50 must identify the position title, series, grade, step, tenure and type of service (Competitive or Excepted). In some cases, more than one SF-50 may be required to show a higher grade previously held.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/15/2023. You must qualify based on your experience and/or education as described below: GS 05: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving phone calls, establishing meetings and recording minutes, preparing documents, ability to extract information and present it in a variety of programs (Excel, PowerPoint, etc.), requesting supplies, equipment and entering work orders. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. Degree must be relevant to the position to be filled. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. You will be rated on the following Competencies for this position: Administration and ManagementClericalCustomer Service (Clerical/Technical)Data Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is usually sedentary, but it requires periods of walking, standing, bending or climbing, and employees may carry light items such as books, instruments, laptops, and other similar materials.
