The purpose is to perform specific duties under established rules, regulations and procedures in order to provide meal service to the Veterans and assure that staff are paid for their work.
The work affects the health, care, comfort and attitude of patients and the livelihood of the employees.
The incumbent ensures that administrative support duties in the assigned unit are accomplished effectively allowing the supervisor to concentrate on technical and managerial duties.
Duties
Major Duties as Assigned, but not limited to:
Provides timekeeping for multisite department to allow proper payment of employees for work performed. Uses time and attendance (T&A) reports and duty schedule to post duty tours, leave, holidays, overtime, and unscheduled hours in the VISTA Time and Attendance Package on a daily basis.
Maintains files as required by regulation of physician's statements, jury duty, military orders, SF-71s, and approved memos supporting different types of leave.
Types and electronically distributes or manually posts duty schedule for employee access.
Types memoranda for employee signature for requests of Family Medical Leave Act, extended leave without pay (LWOP), leave donor program, etc. Calculates employee leave balances, accruals, and uses to advise employee of number of hours to include in the memo.
Documents nutritional screening for inpatients as required by the Joint Commission. Reviews electronic medical record to retrieve objective data, interviews patient to obtain food preferences and nutrition related history, and consults with nursing staff on the unit as indicated to complete nutritional screen in electronic medical record. Sends informal or formal consult to dietitian for follow-up care with patient as indicated.
Schedules patients into nutrition related classes or individual appointments using the Vista scheduling package so patients can obtain appropriate nutritional care taking into account Veteran preferences for appointment dates and rules for clinic scheduling.
Checks patients into classes on day of the class to include taking and recording weights, providing class materials, and monitoring classroom.
Manages the diet communication center in which all patient diet orders, tube feedings, and between meal nourishments are processed. Receives diet changes, discharges, admissions, and interward transfers. Prints tray tickets, ward diet order lists, labels, and reports including diet changes, supplemental feedings, late trays, and standing orders. Contacts Nursing Service personnel or dietitians if information is not complete or correct. Provides reports and tray tickets in proper sequence and with needed manual adjustments to food service personnel to assure patients are fed as appropriate. Records all tallies of non-routine meals ordered.
Distributes incoming and outgoing mail as required in the section to include sending items on the NFS truck between sites.
Inventories office supplies for the section and obtains supplies from the NFS supply closet or requests supply order from the Budget Technician.
Conducts and documents findings of plate waste studies for evaluation of menu items and conducts individual meal calorie count from patient trays for individual patient nutritional care.
Inventories printed patient education materials for the clinical nutrition section and reproduces or orders through reproduction request any materials as needed. Stocks outpatient clinics and other areas as indicated with patient education materials.
Distributes NFS Patient Satisfaction Surveys (PSS) to patients. Reads survey to patients as indicated and assists with writing responses if indicated. Compiles data into spreadsheet for reporting purposes.
Enters work orders for equipment repair or environment repair by Engineering Service.
Performs ancillary duties that include access to Automated Data Processing Applications Coordinator privileges. Resets computer codes and passwords, trouble shoots computer problems, assists with Talent Management System (TMS) and MyPay operational difficulties.
Performs other duties as assigned, including relief during periods of absence of same or higher grade clerks or program assistants.
Work Schedule: Rotating Shifts - 6:00 am-2:30 pm and 8:00 am-4:30 pm and 10:00 am-6:30 pm; Tours and Days Off rotate every 28 days

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: working knowledge of office equipment and safety associated with its use; practices sound infection control procedures, to include isolation procedures, proper hand hygiene; prints trays tickets and processes them in the correct order; Processes and delivers mail to appropriate individuals in a timely manner; exhibits courtesy when interacting via telephone or e-mail OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four (4) years above high school education. (TRANSCRIPT REQUIRED) OR,
Combination: Applicants may also combine education and experience to qualify at this level. Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below. You must have an combination of specialized experience and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED).
In addition to meeting specialized experience requirements, applicant for this position must show possession of the following skills: Typing proficiency - Ability to type 40 words per minute.

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
