This position provides administrative support to Medical Imaging Service, Boise VA Medical Center, Boise, Idaho. Serves as administrative assistant to the faculty members of the Medical Imaging Service. Incumbent works under the direct supervision of the Medical Imaging Service Chief and Supervisor.
Duties
Major duties include but is not limited to:
Performs timekeeper duties and leave schedule for Medical Imaging Service personnel, to include all staff physicians, Fee Basis physicians, technologists, Fee Basis technologists and nurses
Prepares agendas for and records minutes for all Medical Imaging Service meetings and
associated committees, ensures meeting rooms are scheduled
Ensures all employee competency and personnel folders are up-to-date
Assists supervisor with performance appraisals for Medical Imaging Service employees
Prepares performance appraisal documents for supervisor, keeps a calendar for performance
appraisal due dates, ensures supervisor completes in a timely manner
Schedules interviews for position candidates, schedules appropriate room venue
Covers front desk reception area during breaks and when staff absence occurs
Serves as receptionist, assisting patient and staff as needed
Updates leave calendar
Makes daily runs to and from the mailroom
Serves as a subject matter expert with employee travel
Assists staff members with travel arrangements
Updates the Medical Imaging Service SharePoint site
Updates the monthly call back schedule in each department and Emergency Department
Ensures each Medical Imaging Service employee who is on the call list has an updated schedule each month and makes changes to the call schedule daily if needed
Serves as the Medical Imaging Service Talent Management Service (TMS) administrator
Assigns training requirements for new employees, prints employee reports for supervisors, yearly or as needed
Ensures staff have appropriate access to shared folders on the Medical Service drive via the
Shared Folder and File Exchanges (SFFX) program
Responsible for typing all Medical Imaging Service directives and memorandums
Ensures directives and memorandums are updated in a timely manner
Keeps records of Memorandums and SOPs, ensuring each is updated/renewed before it is due
Works with professional and ancillary hospital staff in resolving administrative details and in
developing specific information on workloads, Medical Imaging Service staff coverage and
improvement of management-related programs
Screens calls and visitors for Medical Imaging Service, referring to specified Departments or staff
Handles requests for information and resolves or assists in resolving a variety of inquiries made by patients, family members and hospital staff members
Screens all incoming correspondence, determining proper action, at times preparing answers
before referring to the appropriate staff member
Drafts or prepares replies to matters of general inquiry or professional services memoranda that may be required by new or amended regulations, coordinating with concerned services as needed
Develops and attaches background data for use by the Chief or Supervisor of Medical Imaging
Service for review of correspondence, reports, etc.
Reviews outgoing correspondence and reports prepared by the Chief or Supervisor of Medical Imaging Service, prepares for signature by other staff members or other hospital personnel to ensure proper format, mathematical correctness, correct grammar and to ascertain that all necessary coordination of facts has been completed
Maintains suspense file for items requiring action or follow-up
Orders supplies and equipment
Types technical material to include meeting minutes and documents from oral dictation, dictation equipment or written draft
Makes copies of documents, articles, etc. required by staff members
Posts to bulletin board with current Medical Center information, training bulletins, etc.

Qualifications
To qualify for this position, applicants must meet all requirements with in 30 days of the closing date of this announcement, 07/28/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. Applicants may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment. For this position, GS-5 applicants must have held at least a GS-3 level position.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performs primary timekeeping duties; Develops, Maintains and makes changes to On-Call/leave schedules; Maintains files and organizes files; Provides front desk and reception area coverage; Works professionally with all visitors and patients, assisting with imaging requests and other information requests. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of full-time above high school academic study (One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.). Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours [i.e., beyond the second year] is creditable toward meeting the specialized experience requirement. Physical Requirements: The work involves walking, standing, bending and carrying of small office items is required.
