HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.HJF is seeking an Medical Administrative Assistant to perform a wide range of administrative and clerical duties for a department or department manager. Some general tasks include providing assistance to faculty, residents, students, and other staff members to provide administrative support for Integrative Medicine Clinic operations.Perform administrative functions for the Integrative Medicine and CIP including but not limited to, patient appointments, scheduling integrative medicine treatments for research and clinic patients.Establish and maintain good interpersonal relationships with co-workers, families, peers and other team members.Adhere to infection control procedures including use of personal protective equipment, disposal of waste and aseptic technique.Perform central sterile supply duties and ensure all equipment is properly cleaned and stored at the end of each work shift.Ensure preventive maintenance and routine cleaning are performed as directed.Maintain patient medical records; prepare and submit administrative reports.Participate in in-service training and continuing education programs for new procedures, techniques and equipment.Scheduling in multiple formats to include schedule creation, updates, patients scheduling/rescheduling.Coordinate patient flow to ensure quality, on-time patient care.Ensures stock levels are adequate and initiates orders for replenishment.Complete accurate and timely documentation of patient visits.Creating patient clinic packets, makes copies, prints labels.Assists with documents medical data in patient chart as directed.Required Knowledge, Skills and AbilitiesExperience working within the Military Medical system (e.g., as military, civilian employee or government contractor) preferred.Must be detail oriented and able to work independently following a brief period of specific technical training.Available to travel in order to provide services, receive specialized training, and/or coordinate between research sites when it’s in the best interest of the Government.Able to read, write, and speak English fluently in order to effectively communicate with all personnel eligible for medical care and the staff of the military medical treatment facility (MTF). Have the ability to enunciate with sufficient clarity to be readily understood by patients and staff.Sufficient initiative, interpersonal relationship skills and social sensitivity such that they can relate constructively to a variety of patients and staff from diverse backgrounds.Excellent time management and communication skills; able to work in a team environment and concurrently support several active clinical research projects.Proficient with office equipment (e.g., computers, multi-line telephone system, voicemail, facsimile, copier, printers), as well as business software for word processing, presentations, spreadsheets, database management, and email communications. This includes, but is not limited to, Microsoft Office 2003 (i.e., Word, Excel, PowerPoint, and Outlook).Physical CapabilitiesLifting: Requires lifting materials up to 25 lbs.Work EnvironmentThis position will take place primarily in an office setting.Education and ExperienceBachelor’s Degree in a health care related field and 1 year healthcare related field experience (within the last 5 years) or an associate degree and 2 years healthcare related field experience (within the last five years).Must have current Human Subject Research Protection training Office of the Under Secretary of Defense “Personnel and Readiness” within 15 days of hire.Must have current Basic Life Support (BLS) certification within 15 days of hireAll HJF employees are required to be fully vaccinated against COVID-19.
