Secretary to the Primary Care Service Line, Associate Chief of Staff and Deputy Chief at the Atlanta VA Health Care System. This position reports directly to the Administrative Officer and will provide a variety of secretarial and administrative clerical services to the Primary Care Service Line.
Duties
The incumbent will perform a variety of secretarial and administrative clerical services for the Primary Care Service Line, Associate Chief of Staff and Deputy Chief.
Duties include but are not limited to:
Responsible for personnel administration (i.e. serving as backup Timekeeper, attending the weekly Human Resources staff meetings and following up with potential staff who are going through the onboarding process, etc.)
Receive incoming calls from internal and external customers.
Maintain calendars for the Associate Chief of Staff, Deputy Chief and Administrative Officer (i.e. scheduling appointments, meetings, committees, conference calls, and webinars).
Schedule and review work activities performed in an office, including data reporting, data support and record keeping.
Maintain office compliance regarding regulations, polices, and guidelines as established.
Reviews and directs incoming communication documentation.
Prepares, reviews and routes correspondence and communication flow including that of a sensitive nature and informs Primary Care leadership when there are issues of concern.
Perform office automation work on VA furnished equipment.
Utilize a range of software equipment and software programs (i.e. copier, fax, telephone, Word, Excel, Outlook, etc.).
Work Schedule: Monday - Friday 8:00a.m. - 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/30/2024.Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience with clerical and administrative procedures, and various office skills;
Carrying out day-to-day administrative support activities;
Skill in the use of a variety of computer software programs such as Microsoft Word, Excel, Power Point and other software applications;
Preparing correspondence, reports, and memorandums;
Maintaining calendars to include coordinating and scheduling meetings and conference rooms.

Physical Requirements: Work is primarily sedentary; however, some walking, standing, bending, and carrying of light objects (such as papers, books, office supplies) is required.
