This position serves as a Program Support Assistant for the Community and Recovery Services (CRS)- Mental Health Intensive Case Management (MHICM) and Psychosocial Rehabilitation & Recovery Center (PRRC), under the Mental Health Service (MHS). The incumbent is expected to exercise independent judgement to provide administrative/technical coordination of assigned responsibilities and to keep abreast of all necessary program changes, in the day-to-day operation of Mental Health Services.
Duties
Duties include but are not limited to:
Performs work involving the collection, compilation and/or tracking of data and statistical information in support of the organization's program operations.
Ensures that all information is up to date and complies with routing reports which are required by NEPEC, VISN 9 and Section Chief and designee.
Assists in the acquisition, development and/or scheduling of program resource materials and personnel, such as hard copy and computer-based brochures and reports, agency staff and/or volunteer personnel, and/or needed program equipment such as telephones, computer and printers, fax machines etc.
Completes special projects in support of the policy development and/or technical program activities of the organization.
Makes appropriate referrals.
Provides appropriate information about the organization, as well as the Community and Recovery Services and Mental Health Service.
Prepares, composes or reviews correspondence prepared for the purpose of obtaining or supplying information.
Assists with checking Veterans in for appointments and performs all necessary functions for the smooth operation of the MHICM and PRRC programs.
Meets the needs of customers while supporting the VA Medical Center mission. Consistently communicates and treats customers (patients, visitors, volunteers, families, external customers and all Medical Center staff, Veterans, their representatives), in a courteous, tactful and respectful manner.
Follows applicable regulations and instructions regarding access to computerized files, release of access codes, etc., as set out in the computer access agreement that the employee signs.
Ensures sensitive, confidential, personal data and health information is protected from unauthorized use or viewing by others.
Work Schedule: Monday - Friday 7:30am to 4pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/02/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Placement Factor:
1. Ability to perform the clerical/administrative support and perform various functions in an office setting (i.e., screening callers/correspondence and making appropriate referrals; providing information regarding policies and procedures; filing and retrieving information in accordance with strict requirements; arranging and coordinating meetings; responding to inquiries; prioritizing request/workload; handling multiple task, etc.
2. Skill in applying a knowledge of policies, regulations, directives, etc. for dealing with patient care and treatment of patients in order to perform a wide variety of nonstandard assignments and resolve a wide range of problems.
3. Ability to gather, compile, and analyze data/information with specified timeframes and prepare in spreadsheet format sufficient to assure proper billing accuracy and receipt of reimbursement charges.
4. Ability to communicate, telephonically and in person with a variety of individuals, in eliciting cooperation, obtaining and exchange information and resolving problems.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the Federal service. Examples of specialized experience would typically include, but are not limited to: performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight.

Physical Requirements: The incumbent works in an office setting. Duties require sitting, some walking and light lifting of medical records. There are no unusual physical requirements.
