The Program Support Assistant, is assigned to the Women Veterans Healthcare Program, under the Chief of Staff, and within the Robley Rex VA Medical Center in Louisville, Kentucky.
Duties
The individual in this position will function as a program/administrative assistant, under the administrative supervision of the Women Veterans Program Manager. The position requires clerical abilities, computer knowledge, data collection, interpretation, and delivery, fund control management, office management skills, confirmation of community care appointment preferences, outreach, excellent interpersonal skills, prioritization skills, knowledge of eligibility regulations, and flexibility in a variety of assigned duties.
Duties include but are not limited too:
Provides administrative and program assistance in the areas of day-to-day operations of the Women Veterans Healthcare Program.
Manages data collection and retrieval and tabulation of statistics, and generate reports, briefings, and summaries from data when requested.
Format and distribute meeting minutes and agendas and keep track of meeting attendance.
Assist with travel requests for Women's Health conferences, and arrangements for on-site Women's Health trainings.
Coordinates Women Veterans-specific outreach events while representing Women Veterans Healthcare at outreach events.
Process incoming phone calls for the Women Veterans Healthcare Program and intervene appropriately to help connect patients to those who can help resolve their concerns or complaints.
Process requests for office supplies and equipment, such as computers and headphones.
Identifies potential problems in the administration of the WVHP office, and will provide recommendation on how resolves and prevents these problems to ensure that policies, procedures, and standards are followed in the administrative area.
Collaborate with the Program Manager on budgetary and fund control tasks.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/24/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support, utilizes attention to detail to perform data entry functions to support service line operations, maintaining office files and records, communicating with customers and answering various questions, experience with document/report processing, establishing, updating and maintaining of files and use of software applications.
Preferred Experience: Pyramid analytics, Excel Data Tracking, Analysis and Compilation, Report Creation.

Physical Requirements: The work is generally sedentary. Typically, the individual in this position will sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small pieces of equipment and supplies, or driving an automobile. No special physical demands are required to perform the work.
