This position performs developmental Executive Secretary assignments to the Deputy Director, Associate Director and Assistant Director, at VA Southern Nevada Health Care System, Las Vegas, Nevada. Performs the full range of routine and non-routine assignments with a high level of independence and responsibility for administrative and routine details.
Duties
THIS IS A TEMPORARY PROMOTION OPPORTUNITY, NTE 1 YEAR
Major duties of this position will include, but are not limited to:
Skill in developing and presenting information to subordinate level secretaries in groups and individually in administrative and secretarial matters such as directives, reports, policies, procedures and other matters of interest.
Skill of a qualified typist in order to perform duties utilizing automated systems.
Extensive knowledge of word processing procedures and function keys required to execute several office automations functions such as storing and retrieving electronic documents and files, activating printer, inserting and deleting text, formatting letters, reports and memoranda and transmitting and receiving e-mail.
Develops and edits spreadsheets (MS Excel) in order to graphically display data, such as workload statistics, staffing levels and other Service/ Organizational data.
Develops and edits presentations (MS PowerPoint) in order to prepare visual presentations for VASNI1S staff, VISN or VA Central Office (VACO) regarding organizational data to include
Completes statistics, action plans, staffing levels and administrative service data.
Writes, transmits, receives, and forwards electronic mail (e-mail)
Formats and prints word processing and spreadsheet documents; schedule virtual face-to-face meetings via the electronic scheduler system package.
Reviews all correspondence and other inquiries received by the Deputy/ Associate/ Assistant Directors Offices and determines which ones must be brought to the immediate attention of the Deputy/ Associate/ Assistant Directors and which ones may be handled as a matter of routine.
Independently responds to routine items either verbally or in writing and will assign responsibility to a subordinate service, section or Program Manager.
Assigns and follows up on the deadlines for such responses and reviews the written response for correctness and appropriateness.
Attends and records minutes of meetings which are later summarized and distributed to members electronically. Maintains minutes in chronological order for outside review such as Office of the Inspector General (OIG) or Joint Commission (JC).

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/27/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
For a GS-8 position you must have served 52 weeks at the GS-7

For the GS-8 Grade Level:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Managing schedules and calendars using own initiative and judgment in determining priorities for appointments and activities. Schedules conferences, appointments and meetings and assures that all necessary background materials are made available for review prior to the appointments. Screens all calls and visitors, displaying courteous, helpful and sympathetic demeanor always. Reviews all correspondence and responds to routine items either verbally or in writing and follows up on deadlines. Must be fully functional in the operation of Microsoft Office to include MS Word, MS Excel, MS PowerPoint, MS Access, MS Exchange programs, MS Scheduler, WEB design and VISTA Programs to include Fund Control Point menu.

Physical Requirements: The work is primarily sedentary. A minimum amount of walking, standing, bending and carrying items is required. No special physical qualifications are required. May require occasional travel.
