This position will be aligned under the Associate Director, Office of Patient Care Services and will assist in the administrative and secretarial duties for the Associate Director, Office of Patient Care Services and Deputy Nurse Executive. The incumbent will perform the full scope of the duties and responsibilities under normal supervision as a Secretary (OA) with full responsibility for administrative and routine details within the Office of Patient Care Services at (VASNHS).
Duties
Duties include but not limited to:
The incumbent manages the day-to-day activities of the Deputy/ Associate/ Assistant Directors. Has exclusive control over the Deputy/Associate/ Assistant Directors schedules and calendars using own initiative and judgment in determining priorities for appointments and activities.
Independently determines which callers should be referred to subordinate or alternate resources for assistance.
Advises the Deputy/Associate/ Assistant Directors of the nature of conferences, appointments and meetings which are scheduled and assures that all necessary background materials are made available for review prior to the appointments.
Screens all calls and visitors; answering most questions and completing most business issues/concerns involving established policy or routine matters without referring individuals to the Deputy/ Associate/ Assistant Directors.
Incumbent must be extremely sensitive to their needs, display courteous, helpful and sympathetic demeanor always. Reviews all correspondence and other inquiries received.
Arranges meetings, conferences and special events/visits.
The incumbent is the recorder for the Healthcare Operations Council, Resource Management Committee, Data Validation Committee, Capitol Asset Committee, and others may be assigned. This task may include preparing agendas, scheduling virtual, face-to-face meetings, reserving conference rooms, and notifying participants.
Attends and records minutes of meetings which are later summarized and distributed to members electronically.
Maintains minutes in chronological order for outside review such as Office of the Inspector General (010) or Joint Commission (JC).
Work Schedule: Monday - Friday ( Variable)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/18/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-08 or equivalent of the next lower grade. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience : You must have one year of specialized experience equivalent to at least the next lower grade GS-08 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: (1) obtaining necessary background information before referring calls and visitors and referring items of special importance; (2) arranging meetings and conferences and assembling material for agenda items; (3) reviewing action documents for grammar, format, clarity of information, and conformance with the manager's viewpoint; conducting periodic training sessions; (4) performing administrative support assignments such as initiating, and following up to ensure completion of personnel action requests.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary. A minimum amount of walking, standing, bending and carrying items is required. No special physical qualifications are required. May require occasional travel.
