The primary purpose of this position is to provide administrative support to critical programs and staff members in the Quality, Safety and Value Service and the Environmental, Safety & Health and Informatics & Analytics Department at the Mann-Grandstaff Veterans Affairs Medical Center in Spokane WA.
Duties
Major duties include but are not limited to:
Provide administrative support to critical programs and staff members in the Quality, Safety & Value Service
Ensure the smooth functioning of administrative processes and institute new processes or improvements to existing ones
Incorporate changes to Medical Center Policies and Standard Operating Procedures
Prepare, maintain, and file correspondence, manuals, directives, MGVAMC policy and place documents in the Joint Commission, Environment of Care, Life Safety, GEMS, Fire Safety, Safety Management
Record, transcribe and type minutes, correspondence, forms, inspection reports, and MGVAMC memorandums from rough drafts, notes, or oral instructions
Prepare letters for signature by the Chief of Quality, Safety & Value, and/or Executive Leadership
Maintain employee timecards for Quality, Safety & Value Service according to VA procedures
Create spreadsheets to aggregate data used by safety professionals
Perform other duties as assigned
Work Schedule: Monday-Friday 8:00am-4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Telework is available on an ad hoc basis, determined by the needs of the service and supervisor approved.

Physical Requirements: The work is sedentary and requires sitting, intermittent walking and some standing. The work occasionally requires the carrying of light objects such as files, books, and reports weighing less than 15 pounds. The use of a keyboard is required to access a computer to perform the work. Occasionally visits administrative work areas around the VA campus site, such as HR, Fiscal, or the Business Office (HCAS).
Qualifications

Typing Proficiency: In addition to meeting experience requirements as listed below, applicants for these positions (Office Automation - any grade) must demonstrate a typing speed of at least 40 words per minute. You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization and that provided the knowledge, skills and abilities to successfully perform the duties of the position. Specialized experience must demonstrate the following: performing standard clerical assignments by gathering engineering data used to develop reports, reviewing documents for proper grammar, spelling and punctuation, and operating computer hardware and software (such as: MS Word, MS Excel, MS Outlook, or SharePoint).
Examples of specialized experience would typically include, but are not limited to: Collect, compile, and track data and statistical information independently from existing data bases in order to provide comprehensive support; coordinate incoming data from a variety of sources, reviews documents, reports, and/or applications or omissions and inconsistencies, and ensures data entry is complete and accurate; develops and manages applicable facility contracts; reviews and distributes incoming mail, manages suspense's, prepares outgoing mail and prepares office correspondence; answers phones, responds to information inquires and takes messages, receives visitors and directs them to appropriate staff, and maintains filing systems. Coordinate meetings, prepare meeting minutes and schedules conferences. Nonclinical support by telephonic technical trouble shooting of equipment. Nonclinical documentation in electronic health care record system. OR,
Education (Transcripts Required): Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school level education in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR,
Combination (Transcripts Required): Applicants may also combine education and experience to qualify at this level. You must have an equivalent combination of specialized experience and education. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
