The Administrative Support Assistant (OA) position is assigned to the Office of the Medical Center Director at the Mann-Grandstaff VA Medical Center, Spokane, Washington. This is a full-time position at 40 hours per week.
Duties
Major duties will include but not limited to:
Develop executive-level correspondence; performs editing and polishing to ensure correspondence is professional and accurate and reflects the views of the Medical Center Director.
Refer technical or specialized matters to appropriate staff.
Assist with personnel management needs such as performance appraisals, recruitment requests or incentive awards.
Consistently treat customers (Veterans, visitors, and all VA staff) in a respectful manner and answers inquiries about facility/office activities, exercising discretion and good judgment, divulging only non-sensitive information.
Provide the customer with accurate information according to established policies and procedures.
Handle conflict with the customers appropriately.
Post time and attendance with minimal errors.
Ensure the completeness and timeliness of action item and congressional responses when meeting deadlines.
Compose draft correspondence control policies and procedures.
Coordinate organized events.
Assign appropriate deadlines, enabling others to meet timeliness requirements.
Observe privacy laws and maintains and disposes of official paper and electronic files and records in accordance with federal records management.
Develop new or maintain existing electronic database for tracking suspense's/action items.
Develop controls and assists with monitoring these programs, troubleshooting metrics and alerting the program specialist of undesirable trends.
Upload documents to correct SharePoint Sites.
Develop agendas and records meeting and committee minutes.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Physical Requirements: Work is generally sedentary. Most of the work can be performed while seated; however, there is walking, standing, bending, and lifting items such as paper, books, and small equipment (10pounds) in the office or at events. Work requires the use of a keyboard and computer to perform duties. Flexibility is required to accommodate events and activities occurring in other than normal duty hours.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
NOTE: This is not a Virtual or Fulltime Telework scheduled position. Telework approval requires department and facility approval upon satisfactory job performance and reliability. Management may disapprove or terminate an alternative workplace arrangement if it is not compatible with or does not contribute to the organization's mission.

Qualifications
To qualify for this position, applicants must meet all requirements by 30days after the closing date of this announcement.
Typing Requirement: In addition to meeting experience requirements, applicants for these positions (Office Automation - any grade) must demonstrate a typing speed of at least 40 words per minute.
For GS-6 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: executive level clerical or administrative support; develop, edit, proofread various forms of correspondence; manage suspense's, adhere to deadlines, tracking, collecting data and reporting metrics according to established goals; demonstrate excellent communication, customer service, and teamwork.

Applicants may substitute education for the experience required for the GS-06 level.
As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.
For GS-7 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: executive level clerical or administrative support; develop, edit, proofread various forms of correspondence; manage suspense's, adhere to deadlines, tracking, collecting data and reporting metrics according to established goals; demonstrate excellent communication, customer service, and teamwork; knowledge of healthcare industry policies, procedures, and privacy laws as applicable to a correspondence program.
