The primary purpose of this position is to perform various clerical and administrative duties in support of the organization. Serve as the point of contact for reimbursement and travel accounting. Perform office automation support using multiple automated programs and software in support of the clerical and administrative work.
Duties
Responsible for the DLIELC (Defense Language Institute English Language Center) travel accounting.
Responsible for maintaining and tracking DLIELC reimbursements.
Prepares a wide variety of recurring correspondence, internal reports, and other documents from information obtained from the staff files and other resources. Reviews and finalizes documents prepared by others.
Maintains supervisor's calendar, scheduling appointments, and meetings, including those involving staff from outside the immediate office in accordance with supervisor's instructions.
Performs other clerical and administrative work in support of the office/organization.
Uses multiple office automation software with varied functions to produce a wide range of documents, formats, etc.

Qualifications
In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions.
SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-04, or equivalent in other pay systems. Examples of specialized experience includes knowledge of various office automation software processing procedures and function keys produce a wide range of documents and to update and revise existing databases or spreadsheets; knowledge of standard office equipment, such as electric/electronic typewriters, copiers, fax machines, and office automation systems to perform a substantial range of office automation support; knowledge of grammar, spelling, capitalization, punctuation, and commonly used specialized terminology to prepare material correctly; knowledge of a body of rules, procedures, or operations applicable to clerical assignments such as referring visitors and callers, obtaining requested material from files; preparing recurring reports and correspondence; preparing and submitting time and attendance records; maintaining files/records, and reviewing and processing mail.

EDUCATION: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: You must submit a copy of transcripts.
OR
COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. NOTE: You must submit a copy of transcripts.
KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of the structure and contract of travel and budget related documents to investigate and resolve routine or recurring discrepancies, check documents for adequacy, and/or knowledge of frequently used and clearly stated regulations and rules to determine if a transaction is permitted or to respond to recurring questions from agency personnel, clients, and others.
2. Knowledge of one or more automated databases associated with a specific accounting, budget, or other financial management functions sufficient to input a range of standard information or adjustments, understand recurring error reports and take corrective action, and generate a variety of standard reports.
3. Knowledge of various accounting, budget, or other financial processing procedures to support transactions that involve the use of different forms and the application of different procedures.
4. Knowledge of rules, procedures, or operations applied to clerical assignments to perform the routine, procedural work of the office, such as preparing and editing documents, maintaining files/records, and making and preparing travel arrangements; routine office functions to screen telephone calls and visitors; and prepare and review correspondence; and correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports.
5. Knowledge of various office automation software programs, tools, and techniques to support office operations, type and produce a variety of documents such as letters, reports, spreadsheets, database, and graphs. Skill in typing; a qualified typist is required.
6. Ability to locate, assemble, and compose routine nontechnical information for recurring reports and inquiries. Ability to communicate effectively, both orally and in writing. Ability to communicate effectively, both orally and in writing. Ability to plan, organize work, and meet deadlines.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.You will receive credit for all qualifying experience, including volunteer experience.

ACTIVE DUTY SERVICE MEMBERS: The VOW Act requires federal agencies to treat an eligible active duty service member as a veteran, disabled veteran, and preference eligible (as applicable) when applying for civil service positions before the effective release or discharge date. Appointment of military members before the release or discharge date is permissible if the member is on terminal leave.
