The VA Northeast Ohio Healthcare System is recruiting for Administrative Support Assistant. The Administrative Support Assistant will function within the Community Outpatient Services
Duties
Receives and screens the vast majority of callers and visitors to the Office of the Facility Director, who include Veterans and/or their family members, Veteran Service Organizations (VSO), officials of other federal, state and local agencies, Vendors, Medical Center personnel and general public.
Point of Contact for anyone that have business with the Facility Director.
Controls the scheduling of the Facility Director's calendar;
Sets priorities and schedules all appointments without prior clearance or approval;
Briefs the Facility Director on appointments made daily and again one day prior to the event, as necessary,
Ensuring the Facility Director has all the pertinent information and material needed.
Maintains the scheduling of all conference rooms when requested for events or meetings from internal/external employees.
Reviews, monitors, analyzes administrative reports, bringing discrepancies, trends, and outliers to the attention of the Facility Director.
Primary timekeeper for the entire CBOC.
Manages Facility SharePoint Homepage, periodically reviews the documents ensuring that they are all up to date and contain all correct information
ADPAC duties: Taking minutes for meetings. Order supplies
Work Schedule: Monday - Friday; 8am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/17/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Screening phone calls to determine the nature and referring to appropriate staff; solving complaints, presenting and gathering information; monitoring and analyzing administrative reports; providing administrative support to daily operations; scheduling and running reports; assisting management with all aspects of scheduling; reviewing documents for accuracy of grammar and punctuation; knowledge of VA rules and policies..
