Serves as the Executive Support Assistant to the Associate Center Director.
Duties
Provides executive level administrative and logistical support to the Associate Director.
Manages executive calendars, coordinates and schedules meetings and briefings, secures alternate representative by another official when appropriate, and secures meeting location. Attends meetings as appropriate.
Creates executive correspondence; reviews all documents for correct format, grammar and spelling.
Handles day to day administrative responsibilities for the Associate Director and staff, such as directing phone calls, receive and greet visitors, sorting and distributing incoming mail, and maintaining electronic and hardcopy files and records.
Assists with reviewing and drafting correspondence, recommendations, reports, and memoranda related to management and administrative concerns in compliance with policies and procedures.
Evaluates and improves Center operations for organization with varying functions performed in subordinate offices. Oversees subordinate secretarial and clerical staff, ensuring administrative and clerical services required are provided.
Creates and/or maintains the organizational distribution lists for the Center.

Qualifications
Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.
To qualify for GS-09 level, you must have:
One year of directly related specialized experience equivalent to the GS-08 level:
Performing a full range of office support activities such as planning and scheduling meetings, capturing meeting notes, reviewing office communications, correspondence or other documents, and assisting with travel arrangements;
Utilizing policy and procedure documents to support a range of administrative office matters;
Planning and coordinating work efforts and identifying possible operating issues and/or situations affecting the efficient flow of work.
