he Program Support Assistant reports to the Mental Health (MH) Special Programs Manager and Social Work Executive (SWE) for the St. Cloud VA Healthcare System (HCS). The incumbent provides program support to the St. Cloud VA HCS Homeless, Suicide Prevention, MH Occupational Therapy, and Recovery programs.
Duties
Major duties and responsibilities include but are not limited to:
Program Support: 75%
Serves as recipient and point person for questions regarding the MH Special Programs staff.
Provides administrative support in management of programs.
Provides specific administrative and technical support to the Housing and Urban Development - Veterans Affairs
Supports Housing (HUDVASH), Grant and Per Diem (GPD), Health Care for Homeless Veterans (HCHV) Contract Residential, and Veterans Justice Outreach programs.
Serves as the point person for HUDVASH Program questions, including veteran eligibility, enrollment, vesting, catchment area and reporting procedures.
Tracks Veterans in the HUDVASH program, coordinates appointments, and provides information to Veterans and families about the HUDVASH program.
Analyzes data, such as current enrollment and appointment frequency, from the VA Homeless Operations Management and Evaluation System (HOMES) and prepares outcome reports for Homeless Program employees.
Investigates and resolves discrepancies "exceptions" ensuring all accompanying information and forms are complete, entered and attached to the ETA, and filed.
Maintains records, files, and publications such as clinical documents (e.g., Provider Clinical Privileges Scopes of Practice) as well as business operations items (e.g., ordering supplies and equipment).
Coordinates all aspects of recruitment (e.g., setting up interviews with qualified candidates) and onboarding process, to include set up of the orientation(s) details for new providers and trainees.
Coordinates keys, badges, office space; prepares new employee paperwork for personnel files; notifies appropriate staff of entrance on duty schedule; and acts as a resource for questions.
Schedules space, participants, time, etc., for conferences and meetings, independently prepares agenda and any handout material required.
Independently plans, searches, gathers, collects, retrieves, extracts, compiles, and/or displays reporting statistical data.
Analyzes local automated databases, corporate databases, and reporting systems to provide information to be used in the evaluation and analysis of clinical program effectiveness and efficiency.
Develops recurring and nonrecurring reports that provide data to be used in management decision making.
Supports the Social Work Executive and the Discipline of Social Work in the HCS: 25%
Serves as a confidential assistant in providing administrative and clerical support, scheduling, and maintaining appointments, coordinating meetings, and/or schedules conferences based on knowledge of workflow and requirements.
Researches and provides background on subject matter of meetings with minimal direction.
Attends appropriate meetings, prepares meeting minutes, and follows up on action items with appropriate staff members independently.
Manages the scheduling of on-call social worker, ensures adequate coverage and resolves coverage issues independently.
Determines disposition of inquiries received relative to various clinical and administrative matters and resolves independently.
Develops background information for correspondence/reports and composes a variety of material, both clinical and administrative, including but not limited to memoranda, administrative studies, reports, brochures, newsletters, and correspondence, mid-year and year-end paperwork using various required forms and directives.
Organizes and maintains various databases related to components of the overall process for monitoring and ensuring competency and quality of the practice of psychology across the healthcare system.
Independently plans, searches, gathers, collects, retrieves, extracts (using various platforms such as VISTA, PMD), compiles, and/or displays reporting statistical data.
Performs other duties as assigned.
Work Schedule: Monday - Friday 8:00am - 4:30pm, evening and weekends maybe required

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/11/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include: performing clerical and administrative support duties within a medical facility; preparing forms and written correspondence for a broad spectrum of complex inquiries from internal and external customers; collecting and compiling data into report format; and utilizing and understanding various automated systems (such as Microsoft Office) to create spreadsheets, databases, and reports.

Preferred Experience: Previous Administrative Experience. Previous Experience with Data Collection, Scheduling, and Microsoft Systems.
Physical Demands: The work is predominately sedentary in nature with some walking, bending, carrying books, binders or files. Intense concentration is needed when performing all aspects of work to ensure accuracy and efficiency.
Work Environment: Majority of the work is performed in an office setting; however, the incumbent will frequently use meeting room space and may visit all areas of the medical center as a part of routine work. The work involves everyday risks and discomforts typical of offices and meeting rooms. Infrequent travel may be required.
