This position is in the Patient Services Section of the Health Administration Services (HAS) line at Saint Cloud VA Health Care System. The Lead Medical Administrative Assistant (MAA) provides critical support to all aspects of program management, staff training, and oversight for the eligibility and revenue programs including but not limited to health care eligibility, health care enrollment, decedent affairs, CHAMPVA / Tricare programs, and insurance card capture via lCB Web.
Duties
Duties for this position include but are not limited to:
Serves as the subject matter expert (SME) and staff trainer for VA health benefits including eligibility and enrollment.
Ensures mandatory training is completed and competencies are maintained, provides training or referral to Supervisor as appropriate for action. Conducts retraining with staff as needed.
Responsible for assigning tasks, monitoring work productivity, collecting data, reviewing official documents and logs, and assigning and/or assisting with special audits as required.
Monitors and oversees the St. Cloud VA decedent affairs process. Ensures that communication from the Minnesota Registration & Certification (MR&C) portal of the Minnesota Department of Health (MDH) is responded to in a timely manner.
Exercises technical expertise by providing first level auditing for hardships, rejections, catastrophic, and ineligible Veterans, and prepares written responses to Veterans for Supervisor review and signature.
Provides direct customer service in the form of face-to-face daily interaction with Veterans. Performs service recovery and assists with responses to patient advocate, White House inquiries, or Congressional inquiries as needed.
Works closely with the MAA Supervisor and provides status and feedback on performance or workload issues.
Work Schedule: Monday - Friday 6:00am - 2:30pm

Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Experience GS-08: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Data pulling, tracking and reporting, Subject matter expert (SME) for health benefit, eligibility and enrollment processes. Distributes work evenly, resolves simple, informal complaints. Prepares work flow charts, makes recommendations or suggestions for improved methods and procedures.

Physical Requirements: The physical demands of work will vary and includes but is not limited to sitting, standing, walking bending, twisting and some driving between campuses. Lifting will not exceed 5 pounds at a time.
