This position is located in the Office of the Chief areas of the Supply Chain Service within the VA Caribbean Healthcare System in San Juan, PR. The Program Support Assistant is responsible for organizing and maintaining the complex day-to-day administrative/clerical operations of the Supply Chain Service.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The major duties include but are not limited to: Collects data and develops reports; Uses a variety of software to develop spreadsheets, databases, graphic symbols, charts, graphs, etc. for view or presentation of the collected data to report to the Service Chief; Prepares and submits requisitions for office supplies, printing support and related materials; Prepares electronic work orders for repairs and follows-up on the status of work orders; Serves as timekeeper for the service; Assists the supervisors in the preparation of the employee performance appraisal program and competence assessment forms; Keeps Service Chief calendar and schedules appointments in accordance with instructions, coordinating with the Chief as necessary; Contacts other people to attend in lieu of Chief when necessary; Reads and processes incoming correspondence and material, thoroughly and accurately screens correspondence and material to identify items which need to be brought to the attention of the supervisor, refers to appropriate staff, re-routes to other organizations, or handles personally; Prepares correspondence as needed; Maintains and updates file system to enable quick and efficient retrieval of information; Schedules appointments, coordinates meetings and/or conferences and prepares meeting agendas and minutes; Prepares travel arrangements based on requirements; Consistently communicates and treats customers (veterans, their representatives, vendors, visitors and all staff) in a courteous, tactful and respectful manner; Receives visitors, mostly vendors from a variety of private companies and phone calls; Types letters, memorandums, forms and reports as they relate to the work of the service; Transcribes minutes of meetings and ensures that the same are prepared in a timely and correct manner; Serves as the training recorder for the service to include training support duties such as the coordination, scheduling and acquisition of training, and/or the maintenance of training records and files; and Performs other related duties as assigned. Qualifications

To qualify for this position at the GS-5 level, you must meet one of the following requirements: Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-4) in the Federal Service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of this position. Specialized experience in performing general clerical duties such as preparing standardized correspondence; answering phone calls; updating calendars and coordinating/scheduling appointments and meetings; entering data into automated systems; using various computer systems and application/software. Applicants should possess excellent written and verbal communication skills. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. ~OR~ Education: Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation. ~OR~ Combination: Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is primarily sedentary. Typically, the person in this position sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work. The work environment involves everyday risks or discomforts, which require normal safety precautions typical of such places as offices, meeting and training rooms or libraries. The work area is adequately lighted, heated and ventilated.
