The Program Support Assistant for the Lodging Program is assigned to the Center for Development & Civic Engagement at the Minneapolis VA Medical Center and works under the direct supervision of the Deputy Director, Center for Development & Civic Engagement.
Duties
Major duties include:
Assists the Deputy Director with the administrative and coordination of the Lodging Program
Maintains a working knowledge of, local, state and national directives, policies and SOP's as it pertains Voluntary Community Resource Services, Lodging and Lost and Found Programs
Manages the Lost & Found function for items left behind or lost within the facility
Compiles and provides lodging packets to guests with instructions regarding rules, checkout times and guest checkout processes
Maintains a purchase card and follows all the regulations pertaining to purchase cards
Solves issues related to the comfort of guests and keeps the Voluntary Service Department informed of situations that cannot be easily resolved
Determines eligibility for and provides meal tickets according to established and approved programs and documents the provision of these meal ticket
Communicates effectively, tactfully and diplomatically to guests, volunteers, staff members, the community, VA patients, community members, and direct supervisor through personal contact, via e-mail and on the telephone
Work Schedule: Monday-Friday, 8:00 a.m. - 4:30 p.m. (work hours may be further discussed during the interview)
Telework, Ad Hoc: Ad Hoc telework occurs on an occasional, non-routine basis- for example, inclement weather or telework that occurs to complete short-term special assignments or to accommodate special circumstances even though the telework arrangement may occur continuously for a limited and specific period of time. VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 for the occupation in the organization. Examples of specialized experience would typically include: provide administrative and clerical support such as answering telephone calls, scheduling meetings or appointments, preparing written correspondences, etc.; gather, input and analyze data using various databases; coordinate with different staff, departments and agencies to assist the customer; and utilizes computer programs such as Microsoft. Physical Requirements: You will be asked to participate in a pre-employment examination or evaluation as part of the pre-employment process for this position. Questions about physical demands or environmental factors may be addressed at the time of evaluation or examination. The duties and responsibilities of the position require mobility between various rooms within Building 10 and between Building 10 and various other buildings at the Minneapolis VA Medical Center. The job requires standing, stooping, reaching and may require lifting up to 30 pounds. The incumbent must always be composed while providing customer service to guests during their emotional and/or physical stress.
Work Environment: Work is primarily in a hospital setting office environment involving possible exposures to contagious disease. The regular and reoccurring work environment involves everyday risks and discomforts requiring normal safety precautions typical of an office in a hospital. The Lodging/Lost and Found office is a very fast paced, often noisy office environment with constant interruptions on a daily basis.
