The Program Support Assistant (PSA) for Social Work Service (SWS) provides administrative and programmatic assistance to the Caregiver Support Program (CSP). This position is responsible for coordinating and overseeing the assigned clerical and administrative support requirements of various aspects of the team. This position reports directly to the Administrative Officer.

Duties

Duties include but are not limited to: Remain current on administrative medical scheduling processes to understand current scheduling processes, home monitoring, care services, and make modifications to scheduled actions as needed to insure optimum utilization of service resources and Veteran care. Meet customers' needs; consistently communicate and treat Veterans, their representatives, visitors, and staff in a courteous and respectful manner; sharing consistent information according to established policies and procedure, while handling conflict and concerns constructively and appropriately. Provide data/reports related to the administrative, clinical, and technical aspects of the program to the program manager, Chief of SWS, or other supervisors needing data. Act as full-time liaison between patients and respective social work clinicians and specialty providers. Follow Rules of Behavior as set forth in the information security agreement protecting sensitive data and using such data and information derived from it only in the execution of official duties. Use software applications to accurately collect, enter, and manage data and draw information from a wide variety of sources to prepare reports. Assist in the planning, review, and reporting of data and statistical results of program studies. Check patients in for appointments, providing patient and family education, 'coordinating patients' movements within clinics and community referrals, and appointment scheduling. Provide or support patient care that Is appropriate to the cognitive, physical, emotional, and chronological maturation needs of the patient group served. Assist Program Managers in planning, development, and implementation of components of their respective program including consult management, performance measures, utilization and productivity monitors, and patient outcome, time and attendance, and patient satisfaction management. Perform a variety of administrative functions such as, purchasing functions to include procurement of services, products, supplies, and/or equipment. Maintain a practical knowledge of applicable operations, procedures, understanding of policies and regulations, applicable to purchased care guidelines and program management. Work Schedule: Full-Time, Monday through Friday, 8:00AM - 4:30PM. Tour of duty subject to change based upon facility needs. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/15/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Prioritize work according to urgency, timeframes, and needs of the program. Operate a personal computer and various software packages to produce typed correspondence and reports quickly and accurately Communicate with many internal and external stakeholders and customers using highly developed oral and written communication Identify safety issues related to patient and staff safety and act appropriately to report unsafe conditions Possess specialized knowledge of the Caregiver Support Program guidelines. You will be rated on the following Competencies for this position: CommunicationComputer SkillsCustomer ServiceExternal AwarenessPlanning and Evaluating Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Light Lifting (20 - 11 lbs. occasionally; 10 lbs. or less frequently); Light Carrying (20 - 11 lbs. occasionally; 10 lbs. or less frequently); Straight Pulling (up to 1 hour per week); Pushing (1 - 2 hours per week); Reaching above shoulder; frequent keyboarding (4-7 hours per day); Sitting (4-7 hours per day); Walking (up to 3 hours); Standing (up to 3 hours); Repeated bending (up to 1 hour); Ability for rapid mental and muscular coordination simultaneously.
