The Administrative Support Assistant (ASA) for Social Work Service (SWS) provides expert administrative and programmatic assistance to the SWS. The incumbent is responsible for coordinating and overseeing the assigned clerical and administrative support requirements of Social Work Service. Will serve as SWS ADPAC. To provide office operations, administrative, coordination and program monitoring of SWS programs.
Duties
Experience in specialized knowledge of the SWS programs and guidelines. It is inevitable that the program will have emergencies, continual interruptions and changes in priorities. The incumbent works efficiently under stressful situation that emergencies and changes create. The incumbent has interpersonal skill and program knowledge to resolve of refer these situations on both and administrative and veteran customer level. Incumbent must have thorough knowledge of VA Regulations governing eligibility for entitlement to SWS programs and outpatient care.
Extensive experience of the functions of the VA Medical Center Staff, VA Central Office, and SWS program, Community partners and refer telephone calls and visitors appropriately. Excellent telephone, customer service and interpersonal skills are needed to ensure tack and diplomacy, which is appropriate to dealing with Veterans, families, caregivers, VA approved vendors, high level officials, staff and other administrative and clinical departments, and representative from private and/or community corporations, member of service organizations, and other stakeholders. He/she must also demonstrate a high degree of dependability, flexibility and accountability.
Experience in mathematics and use of a calculator and software computer programs in other to efficiently, effectively and accurately maintain budget preparations and statistics required for weekly, monthly, and quarterly reports as well as, supervisory controls, incumbent must maintain sufficient records to be distributed to the Chief, Social Work Service, and Administrative Officer, Fiscal Service, VA Regional Office and VA Headquarters. A high degree of data management and communication skills are critical, as well as, knowledge of the VA Medical Center VISTA System, non-VA care system and CPRS to access patient information, complete program authorizations for services, process billing, and to request supplies and materials. Knowledge of Microsoft Office to include, Word, Power Point, Outlook, Excel and Access is required to retrieve statistics, prepare reports and analyze data. Skill in operating a personal computer and various software packages to quickly and accurately produce typed correspondence and reports is a necessity.
The incumbent must have thorough experience of personal computers and local systems software functions to produce and update a wide range of documents that often require complex formats, such as graphics of tables with text, to edit and reformat electronic drafts and to updates or revised existing databases or spreadsheets, requiring the use of advanced software functions to enhance productivity or meet the needs of complex formats and function keys for preforming a substantial range of functions within each software. He/she must be skilled in creative and critical thinking to assist in analyzing areas of improvement in the program.
Incumbent must have experience in professional grammar, spelling, punctuation, and required format, to prepare and proofread correspondence. He/she must have experience with office equipment.
Must be versatile and be able to multitask, as it is possible, he/she may be working on several projects at one time. Must be able to prioritize according to urgency, timeframes, and needs of the program, thorough knowledge of VA manuals and directives to locate references and regulations is also required.
Experience with various VA Directives, Medical Center Memorandums, procedures and publications pertinent to patient care (i.e., monetary benefits, types of discharge, eligibility for care, etc.) and the priorities associated with them.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, subject to change based on the needs of the facility.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/05/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

To qualify at the GS-7 grade, you must have one year of specialized experience equivalent to the GS-6 level or higher Specialized Experience:
Experience with clerical and administrative support such as client interaction, documentation, record keeping, and scheduling
Experienced with surveys and reports, and a wide range of administrative functions with the use of computer applications such as Microsoft office.
Experience collaborating with multiple clinical services in order to implement program functions. I.E. coordinating schedules, manage timelines, compiling data and preparing updates.
