You will serve as an Administrative Support Assistant (OA) in the Strike Fighter Weapons School, Pacific (SFWSPAC) of STRIKE FIGHTER WING PACIFIC STAFF. You will be responsible for Secretary duties for the Commanding Officer and Executive Officer of SFWSPAC and serve as Government-wide Travel Charge Card (GTCC)/Defense Travel System (DTS) Agency Program Coordinator (APC).

Duties

You will assist in all administration duties, such as processing, creating, and correcting incoming/outgoing correspondence, message traffic, and forms control. You will receive all visitors and telephone calls to the Commanding Officer and Executive Officer. You will screen telephone calls from senior military personnel, subordinate military personnel, civilian government agencies, staff division heads, etc. You will coordinate the Commanding Officer’s and the Executive Officer’s activities into a master schedule to include all military, social, and personal appointments. You will arrange for gate clearance for military and civilian visitors. You will inform staff and other concerned officials of details of scheduled conferences. You will provide advice and assistance to staff, squadrons, and other tenant activities regarding preparation of invitations, programs, guest lists, etc. for various official functions. You will proofread and edit all correspondence, directives, reports, and messages for adequacy of treatment and confirmation with substantive policy. You will--as the Government Travel Credit Card (GTCC)/Defense Travel System (DTS) Agency Program Coordinator (APC)--manage the program for the complete staff. You will track and ensure the resolution of Disputed Transaction Reports through stringent attention and action. You will monitor and analyze monthly billings and delinquency reports to include routine coordination and communication with management of higher echelon. You will certify the monthly financial institution's official invoice, attesting to the accuracy and propriety of the travel budget expenditures, and maintain records for audit purposes. You will perform internal reviews and audits of traveler credit card charges, identifying areas requiring management of deficiencies, misuse, or abuse. You will provide training to supervisors and cardholders on the program process. You will serve as the Defense Travel System (DTS) Program Coordinator, responsible for authorizing OFC 21 funds. You will assist in managing budget preparation and analysis for the annual (OFC 21) budget.

Requirements

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector conducting clerical or administrative duties for a program, office, executive, or organization. Examples of qualifying experience may include: receiving visiting personnel and phone calls; directing visitors and callers to appropriate staff; ensuring correspondence adheres to policy; coordinating travel arrangements and ensuring travel documents adhere to policy; managing access control; de-conflicting or optimizing appointment schedules to maximize time efficiency; analyzing invoices to perform record keeping tasks; organizing and maintaining files; researching or assembling information to support staff or executive level requirements. In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:

Successful completion of one full year of graduate level education that is directly related to the position being filled.
