This position serves as Secretary under the Associate Director Patient Care Services (ADPCS) and preforms duties and assumes responsibilities of initiating, coordinating, and carrying out a wide and varied range of administrative, program, and technical support for assigned area/service. This position can be staffed in any section within Patient Care Services.
Duties
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
The duties include and limited to:
Schedule and review work activities performed in an office, including reporting and record keeping.
Maintain files and reports and reviews reports and correspondence prepared to ensure conformance with regulations, grammar, format, policies, and procedures, etc.
Review and direct incoming documentation/inquiries and take personal action when applicable or direct to appropriate staff as needed.
Maintain office compliance regarding regulations, policies, and guidelines as established; and keeps regulations, policies manuals
Enter all reports within an expedient time frame.
Maintain calendar and schedules travel appointments and meetings for manager based on knowledge of workload
Files and maintains office filling system including correspondence, bulletins, manuals, etc., and directives, as well as maintaining employee records as needed.
Prepare travel arrangements for staff to include arranging schedules, making reservations, submitting travel requests, and preparing travel vouchers and reports.
Perform transcription from recordings and/or handwritten forms for meeting minutes
Receive incoming calls from patients, clients, staff, and others in need of information.
Execute and prepare responses to routine correspondence and reports pertaining to the office for submission to the Associate Director for Patient Care Services signature with grammatical accuracy and clarity of expression
Assembles and makes arrangements for conferences and/or meetings to include the preparation of the agenda.
Perform office automation work on personal computer utilizing multiple programs to complete documentation.
Must be knowledgeable in the use of a range of office automation equipment (i.e., copier, fax, telephone, etc.).
Maintain tracking mechanism for reports and action items.
Utilize a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence.
Adhere to guidelines for protecting the security of sensitive computer data from unauthorized access, use, loss or destruction.
Work Schedule: 8:00am - 4:30PM Monday - Friday and subject to change depending on the needs of the agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. For a GS-8 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving calls and visitors and directing them to appropriate person or subordinate office; Preparing a variety of correspondence, reports, forms, requisitions, requests for personnel actions and legal documents; Reviewing documentation for proper format, conformance with procedural instructions, grammar, punctuation, and spelling; Organizing and maintaining files and records, manuals, handbooks, and other related materials; Scheduling appointments and assembling background material; Providing basic coordination and pertinent information on office functions. Scheduling and preparing Travel. Management of SmartBoards and Conference Technology.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Must be about to remain in a stationary position 50% of the time. The incumbent needs to occasionally move about inside the office area to access file cabinets and other office equipment. Constantly operates a computer and other office productivity machinery such as a calculator.
