This position is that of Secretary (OA) for the Associate Chief Nurse, Geriatrics (ACNG) and the office of the Associate Director for Patient Care Services (ADPCS). The position is responsible for office management of the ACNG and within ADPCS and requires a degree of efficiency that directly affects the productivity and effectiveness of all employees through either: patient services, nursing services, nursing education, or quality.
Duties
The duties of the Secretary (OA) include, but are not limited to:
Reviewing and directing incoming documentation/inquiries and take personal action when applicable or direct to appropriate staff as needed.
Maintaining files and reports and reviews reports and correspondence prepared to ensure conformance with regulations, grammar, format, policies, and procedures, etc.
Maintaining office compliance regarding regulations, policies, and guidelines as established; and keeps regulations, policies manuals updated.
Maintaining calendar and schedules travel appointments and meetings for manager based on knowledge of workload.
Preparing travel arrangements for staff to include arranging schedules, making reservations, submitting travel requests, and preparing travel vouchers and reports.
Receiving incoming calls from patients, clients, staff, and others in need of information.
Assembling and making arrangements for conferences and/or meetings to include the preparation of the agenda.
Maintaining tracking mechanism for reports and action items.
Performing office automation work on personal computer utilizing multiple programs to complete documentation.
Work Schedule: Monday - Friday 8:00AM-4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/06/2023.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirement described below, you must be able to type at least 40 words per minute.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Managing an executive calendar; Processing incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of written communication; Taking meeting minutes; Assisting visitors and answering calls; and Manages office equipment and supplies. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and post-high school education beyond the second year.

Physical Requirements: Work is sedentary. Work requires sitting, standing, some walking, bending, and carrying light items such as books and files.
