The primary purpose of this position is to provide management/program assistance, personnel assistance and office automation support to the senior action officers of the Personnel Division (A1K), Directorate of Manpower, Personnel and Services (A1), Headquarters, Air Education and Training Command (HQ AETC).
Duties
Provides direct management and administrative assistance to the Division Chief and all action officers (AOs) in the division. Prepares comprehensive and accurate replies to personnel program inquiries/taskings.
Performs administrative office support functions and maintains cooperative working relationships with co-workers, related functions, customers, and operating officials. Performs a wide variety of record keeping, updating manuals on policy and directives, reporting, and informational duties in support of the organization's programs, functions, and projects.
Maintains Functional Area Records Manager (FARM) responsibilities for the division. Performs the duties of the Functional Area Records Manager (FARM) for the division.
Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Independently plans and performs complex office duties automation duties requiring different approaches and methods from one assignment to another, such as using different packages to edit lengthy and complicated reports; collect, select, organize, and provide information; track the status of a number of projects assigned to the organization and resolve incompatibility problems in transferring text from one software package to another when the menu options and specific software instructions are not available.

Qualifications
In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions.
SPECIALIZED EXPERIENCE: Applicants must have at least one (1)year of specialized experience at the next lower grade GS-06, or equivalent in other pay systems. Examples of specialized experience includes working knowledge of duties, priorities, commitments, policies, and program goals of the organization sufficient to interpret new instructions and procedures, locate/summarize/compile information from files, documents, and submitting activities that is recognized as relevant to the assignment/tasking. Working knowledge of both standardized and specialized processes and procedures used in conducting work measurement studies for evaluating program operations in order to carry out the more complicated projects assigned. Working knowledge of communication methods and techniques in order to communicate effectively, both orally and in writing. Skill in information gathering techniques such as standard interview or survey. Operating standard office equipment such as electric/electronic typewriters, copiers, fax machines, and office automation systems to perform substantial range of office automation support.
FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements.
KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of duties, priorities, commitments, policies, and program goals of the organization sufficient to interpret new instructions and procedures, locate/summarize/compile information from files, documents, and submitting activities that is recognized as relevant to the assignment/tasking.
2. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to be able to accurately prepare and edit written correspondence and reports.
3. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
4. Knowledge of routine office procedures for maintaining office libraries and files and preparing travel orders and timesheets. Skill in applying data gathering methods to collect factual information, and skill in typing. A qualified typist is required.
5. Ability to analyze, verify, and correlate data; locate, assemble, and compose information for non-routine reports, inquiries, and technical correspondence.
6. Ability to communicate effectively, both orally and in writing, in working out solutions to problems or questions relating to work. Ability to plan and organize work and meet deadlines.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
