Duties

Major duties:
Assists the supervisor during all business hours in performing and/or managing administrative tasks.
Monitors, identifies, and recommends ways of eliminating, combining, simplifying, or improving procedures and processes.
Schedules appointments, coordinates meetings and/or schedules conferences.
Schedules supervisor/staff member time based on knowledge of preferences and current commitments independently.
Monitors the use of services, supplies or equipment for the office.
Orders office supplies.
Coordinates conference logistics and food service activities.
Sets up and breaks down conference space and activities.
Performs time and attendance record keeping duties.
Provides general clerical mail and correspondence services.
Researches files and assembles background information about incoming material prior to referral.
Protects data from unauthorized release or from loss, altercation, or unauthorized deletion.
Takes meeting notes as assigned.
Answers and screens calls.
Performs typing work using word processing software and equipment.
Performs other duties as assigned.
Work Schedule: Monday-Friday 8:00am-4:30pm

Qualifications
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements described below, you must be able to type at least 40 words per minute.
EXPERIENCE AND/OR EDUCATION REQUIREMENT:
EXPERIENCE: At least one year of specialized experience that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position? To be creditable, this experience must have been equivalent to at least the GS-4 grade level in the Federal Service. Specialized experience is experience performing a wide range of administrative support duties, i.e., typing correspondence, timekeeping, managing a calendar, scheduling appointments and/or meetings, taking meeting minutes, etc.

EDUCATION: Successful completion of four years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcript must be submitted with application. COMBINATION: An equivalent combination of successfully completed post-high school education and specialized experience as described above to meet the total qualification requirements at the GS-5 level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcript must be submitted with application. Education cannot be credited without documentation.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary and will require the incumbent to sit for long periods of time. Typically, the employee sits comfortably to do the work. However, there may be some light lifting, walking, bending, and stretching. Carrying of light items such as papers, books, soda, and water crates (no more than 5 lbs.), food trays; and some driving an automobile, etc. No special physical demands are required to perform the work.
