The Administrative Support Assistant position is located within the Malcom Randall Department of Veterans Affairs Medical Center Geriatrics and Extended Care; Home Base Primary Care (HBPC) services. This position's purpose is to perform administrative and programmatic support functions including office support services, document control, logistics, budget and finance, and more.
Duties
Major duties include, but are not limited to:
Serving as a point of contact for patients, home based primary care program staff, VISN, VHA, and community staff.
Assisting Program Director and home based primary care leadership team with emergency management preparations including coordinating the activation of contacts to patients, families, and county emergency management officials.
Independently composing correspondence as part of administrative support of the office and preparing other correspondence or documents requested by the Home Care Program Director and leadership group.
Independently preparing special reports related to Performance Improvement, Action Items, and Joint Commission Accreditation requirements.
Collaborates closely with the Prosthetics and Sensory Aids Service and the Home Oxygen Program.
Coordinating meetings and scheduling conference calls and meeting sites.
Serving as both Home Based Primary Care's equipment inventory manager and records liaison officer.
Coordinating all Home Based Primary Care monitoring and reporting to Logistics Service.
Managing the government vehicle inventory, maintenance, and vehicle allocations for staff.
Maintaining the equipment budget, inventory, and ordering equipment for special project grants.
Overseeing and managing the VA AMIS (Automated Management Information System) report, HBPC patient database and VISTA (Veterans Health Information Systems and Technology Architecture) systems.
Providing preliminary data analysis including prioritization to assist Home Based Primary Care program supervisors and the director.
Administrative support for the Home Based Leadership Team.
Work Schedule: Monday-Friday 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/06/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Preparing call lists, emergency planning protocols, and reports for the Program Director.
Maintaining equipment budget, inventory, fleet management, and ordering equipment for special project grants, ensuring budgets are not exceeded.
Providing information and resolving problems independently.
Timekeeper functions; ensuring that all timekeeping related documents and electronic submissions are accurate and timely.
Serving as a point of contact for patients, program staff, agency staff, and other staff in a professional manner.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, or driving an automobile. No special physical demands are required to perform the work; however, the work requires emotional stability to resolve crisis situations.
