The Supervisory Medical Administration Specialist of the Business Administration Service, Benefits and Clinical Support Section at the VA Southern Nevada Healthcare System is the second-line supervisor for staff consisting of GS-7 Lead Medical Support Assistants, GS-7 Patient Services Assistant, GS-6 Program Support Assistants, GS-5 and GS-6 Medical Support Assistants, and GS-4 Telephone Operators. The approximate total FTEE for the Section Chief is 119.
Duties
Major duties and responsibilities include but are not limited to the following:
Supervisory Duties and Responsibilities: 60 percent
Plan, schedule, and assign tasks to ensure consistent coverage of all administrative duties.
Establish and adjust work priorities.
Evaluate work performance.
Approve requests for leave.
Give advice, counsel, and instructions to employees on both work and administrative matters.
Ensure proper maintenance of all equipment and control of supplies.
Monitor amount, accuracy, and timeliness of production of work and find ways to improve production or enhance the quality of the work directed.
Develop position descriptions and performance standards.
Develop performance evaluations.
Interview candidates for positions, recommend appointments, promotions, and reassignment of subordinate non-supervisory positions as indicated.
Hear and resolve serious employee complaints.
Review and recommend serious disciplinary actions involving non-supervisory employees.
Identify developmental and training needs of employees, providing or arranging for needed development and training.
Recommend awards for non-supervisory personnel and changes in position classification, subject to approval by higher-level supervisors.
Find and implement ways to eliminate or reduce significant bottlenecks and barriers to production, promote team building, and improve business practices.
Exercise significant responsibilities in dealing with officials of other services, and in advising management officials of higher rank.
Non-Supervisory Duties and Responsibilities: 40 percent
Collaborate, problem solve, and negotiate with a wide variety of clinical and administrative staff to produce a quality service.
Produce and maintain a whole variety of documents with computer spreadsheets, and database computer applications.
Data entry and reports retrieval.
Manage, control, secure, coordinate, and implement activities with Vista.
Respond to inquiries, reports, audits, etc.
Train, teach, and orient staff on monitoring programs and projects.
Analyze and validate reports of data, workload, and funding, etc.
May be assigned other duties within the Business Administration Service.
Work Schedule: Various tours of duty to include days, swings, evenings, weekends, and holidays.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process (Ad-hoc).

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-11 position, you must have served 52 weeks at the GS-9 grade level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-9 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Supervisory experience.
Coordinating the collection of data concerning patient care activities, making computations as required, and makes monthly quarterly, and annual reports for management.
Oversight of outpatient scheduling functions that directly impact patients' access to care and satisfaction.
Conducting special studies for identifying opportunities to improve customer service and process quality. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Ph. D or equivalent doctoral degree, or 3 full years of progressively higher education leading to such a degree, or. LL.M if related. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the information stated above (TRANSCRIPTS REQUIRED).

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also walking/standing, in conjunction with travel to and attendance at meetings and/or conferences away from the work site. The incumbent may carry and lift items weighing less than 15 pounds.
