The position works within the Business Support Office of the Office of the Assistant Under Secretary for Health (AUSH) for Support Services, Veterans Health Administration (VHA), VA Central Office, Washington, DC, and works under the general supervision of the Deputy AUSH for Support. The position supports the Deputy AUSH for Support Services and staff by assuring that they have the support and assistance to accomplish their duties.
This vacancy will be filled in Washington, DC.
Duties
This is a bargaining unit position.
Major duties include:
Coordinates and schedules appointments and meetings upon own initiative based upon personal knowledge of the Deputy AUSH's workload and current issues of importance.
Reminds the Deputy AUSH of appointments and ensures the Deputy AUSH is fully briefed on the matters to be considered before the scheduled meeting.
Coordinates pre-briefs, background information, minutes from previous meetings, etc. with managers and technical experts.
Reschedules appointments when it becomes apparent that the Deputy AUSH for Support will not be able to meet previous schedules.
Reviews documents for the Deputy AUSH 's signature to ensure procedural and grammatical accuracy, conformance with general policy, factual correctness, and adequacy of response.
Receives all visitors and telephone calls on behalf of the Deputy AUSH.
Maintains an awareness of the priorities and the topical issues and main concerns of the office as it relates to health care issues.
Develops, implements, uses, and maintains administrative processes that are used to plan, track, and evaluate a wide array of long-standing programs, correspondence, and special initiatives for the purpose of improving program effectiveness and organizational productivity.
Makes necessary arrangements for travel, arranging schedules of visits, making reservations, notifying organizations and officials to be visited, and submitting travel vouchers and reports.
This position involves a multi-grade career ladder. The major duties listed represent the full performance level of GS-11. At the lower grade levels, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. Promotion is not guaranteed, and no promise of promotion is implied.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: 8:00 A.M. to 4:30 P.M.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. For a GS-11 position you must have served 52 weeks at the GS-09. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

GS-09:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-07) in the normal line of progression for the occupation in the organization. Specialized experience includes:
Supports in maintaining the daily calendar preparation and schedule management for senior leader.
Arranges senior level travel plans and any last-minute changes.
Assists in prioritizing a wide level of administrative responsibilities.
Addresses administrative and customer inquiries.
Assists in the coordination of actions required to complete administrative tasks and projects.
OR
Successful completion of a master's or equivalent graduate degree
OR
Successful completion of two full years of progressively higher level graduate education leading to a master's degree
OR
Possession of an LL.B. or J.D. that is related to this position being filled.
OR
A combination of experience and graduate education as described above that equates to one year of experience
GS-11:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-09) in the normal line of progression for the occupation in the organization. Specialized experience includes:
Maintains the daily calendar preparation and schedule management for senior leader.
Coordinates senior level travel plans and any last-minute changes.
Manages and prioritizes a wide level of administrative responsibilities.
Independently addresses administrative and customer inquiries.
Coordinates and communicates actions required to complete administrative tasks and projects.
OR
Successful completion of a Ph.D. or equivalent doctoral degree
OR
Successful completion of 3 full years of progressively higher level graduate education leading to such a degree
OR
Possession of an LL.M., that is related to this position being filled
OR
A combination of experience and graduate education as described above that equates to one year of experience
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: This position requires walking, carrying light supplies/work records, utilizing telephone, fax, computer, copier, and other standard office equipment. Occasional travel for training or attendance at national meetings may also be required.
