This position is located across the Bureau of East Asian and Pacific Affairs, in the U.S. Department of State (DOS). Serves as secretary and personal assistant to the office Director and Deputy Director.
Duties
Plans, manages, organizes, and coordinates the daily support operations of the office. Coordinates activities for the Director and Deputy Director and their immediate staff.
Receives and makes proper disposition of contacts and telephone calls coming into the office. Receives Ambassadors and other representatives of the Foreign Service on behalf of the Executive Office.
Reviews all incoming correspondence and forwards it with necessary information or instructions to the appropriate offices for action or composes replies for his/her own signature when appropriate.
Makes all travel arrangements for the Departmental unit, which include both domestic and frequent foreign travel; and prepares travel vouchers according to set procedures and policies.
Manages time and attendance for the Director and Deputy Director’s office staff. Manages procurement and purchasing records and reports, reconciles invoices and presents them to approving official for payment .

Qualifications
Applicants must meet all the required qualification requirements described below by the closing date of this announcement.
NOTE: Applicants must meet time-in-grade and time after competitive appointment requirements, by the closing date of this announcement.
Time-In-Grade Requirements: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions, per 5CFR 300, Subpart F.
Applicants must have one (1) year of specialized experience equivalent to the GS-08 grade level in the Federal service.
Specialized experience is experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform the duties of the position and is typically in or related to the work of this position.
Qualifying specialized experience must demonstrate the following:
Experience maintaining appointments, calendars, and schedules.
Experience receiving and directing telephone calls.
Experience ensuring the smooth flow of correspondence, as well as editing and composing letters and reports.
