The Staff Assistant has extensive responsibility for coordinating work within and outside of the organization, where procedures and administrative controls are equivalent to those typical of a large organization with multiple, complex suborganizations.
Duties
Major duties include but not limited to:
Responsible for the support of daily operations relating the coordination and management of the Cheyenne VAHCS daily operations
Conduct evaluations and reviews of the items ensuring completeness, accuracy and assess vulnerability for the organization prior to coordinating with executive leader for completion.
Assists with all HR actions for their respective Executive Leader.
Plans, develops, and organizes a wide variety of meetings and conferences in support of hospital and VISN policies and programs on behalf of all Executive Leaders.
Develops, researches and gathers all background information/briefing materials for the Executive, including the preparation of the daily read folder that includes calendars, briefings, maps and any other requests of the Executive Leader.
Manages all travel card set-up and maintenance for Executive leaders and their direct reports.
Designs and organizes the filing for the Executive as the Records Liaison.
Constructs presentations, charts and reports for the Executive utilizing MS Office Suite of products, MS Visio, SharePoint and Adobe Acrobat. Create presentations, report submissions, spreadsheets and documents to the Executive.
Develops meeting minutes for meetings chaired by the Executive Leader and or any other meeting minutes needed to support the organization.
Provides backup to any and or all of the Executive Leaders staff assistants. This includes the full scope of the position(s).
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Understanding of the mission and goals and directives of the organization, perform duties such as developing material, managing events/calendar and coordinating administrative responses, knowledge of the office automation systems including all types of Microsoft software products, Vista, Computerized Patient Record Systems, VATAS, and other programs, ability to communicate well either written or orally, ability to work independently and/or with minimal direction on daily operations and special projects assigned, Knowledge of substantive programs of the services as they related to the clerical and administrative functions of the office. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree. Physical Requirements: The work is normally sedentary, but includes some walking, standing, bending, and carrying light items such as papers and books. No special physical demands are required to perform the work. The work is performed in an office setting. The work area is adequately lighted, heated and ventilated.
