Duties:
The position is organizationally aligned in the Quality and Safety Management (QM) Service. The primary purpose of this position is to serve as program support for the Policy Coordination Program of all official DVAHCS policy memoranda in the QM Section within the Office of the Director and serve as the principal office assistant to the Chief, Quality Management Service, and subordinate staff.
Provides program support to the Policy Coordination Program for the Durham VAHCS. Ensure consistent application of Memorandum 558-18-00.1, Durham VAHCS Publications for the Medical Center, CBOC's, HCC's, and all other sites of care within the Durham VAHCS.
The development and maintenance of a computerized system for policy tracking and notification, compliance with VHA and VISN Handbooks and Directives, internal policy consistency and accuracy, and policy cross-referencing with Joint Commission standards and other regulatory agencies.
Provides training and assistance to Services and Programs in the development of new policies, revising and/or updating existing policies, and ensuring that policies do not expire before they are reissued.
Responsible for uploading memoranda to the DVAHCS SharePoint site and responsible for maintaining the memoranda history file.
Provides quarterly and annual reviews on the status of policy memoranda to ensure policies are updated and published prior to the designated date, and reports compliance as part of the annual review process to the Governing Council.
Performs administrative work in support of the office which involves providing advice and guidance on clerical and procedural requirements and instructions to other clerical personnel and staff members.
Supports the Accreditation Program by assisting with preparation for accreditation boards for all services within the Medical Center such as OIG, Joint Commission, CARF, and LTCI. This includes arranging room reservations, parking, preparing conference rooms, and order supplies.
Makes travel arrangements for all programs in the QM Section, such as scheduling transportation, making reservations, and preparing travel orders and vouchers.
Qualifications

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience with performing various clerical and administrative duties, and providing office automation and technical support using multiple automated programs and software such as_ databases, spreadsheets, and graphics. Experience Maintaining supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences. Preparing daily folder which contains calendar for the day, meeting agendas and supporting documents for required meetings, and recording and transcribing the minutes for committee meetings.
