As the Voluntary Service Assistant assigned to Center for Development and Civic Engagement (CDCE)/Voluntary Service at the San Juan VAMC, San Juan, Puerto Rico, responsible for providing support to the facility's CDCE/Voluntary Service operations by communicating and coordinating on behalf of CDCE/Voluntary Service Officer across the health care system, agency representatives, and community officials regarding programs, events, and activities while maintaining relationship and partnerships.
Duties
Include, but are not limited to:
Maintain office records and files
Facilitate meetings, correspondence or any other administrative actions
Maintain many physical and/or electronic records for reports due monthly, quarterly, annually and as necessary
Enter data into multiple databases
Complete equipment inventory surveys and ensure proper documentation of equipment assigned to the CDCE/Voluntary Service department.
Maintain databases in which all electronic volunteer and donor/donations are managed and stored
Develop and prepare communications materials regarding the program.
Maintain oversight of the VA volunteer timekeeping and donation package.
Coordinate request and purchase of office operating supplies.
Receive patients, visitors, volunteers, donors, and other stakeholders.
Work Schedule: 7:00am - 3:30pm Monday - Friday
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/25/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience: Preferred experience in the CDCE HUB Database for the accurate recording of Volunteer management, donations, complete quality reporting, identify trends, and review of quantitative and qualitative data. Vast Excel knowledge to analyze and prepare statistical data for needed reports. APD System knowledge for the provision and deprovision of Volunteers. Knowledge of records management, Microsoft Word, Microsoft Excel, Microsoft Power Point, Voluntary Services System (VSS) and any related or subsequent databases or programs, and VATAS and any subsequent employee timekeeping databases or programs.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receive potential volunteers, patients, visitors, donors, and other stakeholders; Facilitate meetings, correspondence, and other administrative actions; Maintain physical and electronic records; Collect and track data; Prepare and submit various reports; Order supplies; Record and take inventory of equipment; Enter data into databases. Review correspondence and documents for accuracy.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is moderately sedentary, although considerably variable. It requires a fair amount of standing, sometimes for long periods, walking, climbing stairs, and bending. Work may require some heavy to moderate lifting, transporting of materials, equipment and supplies for special events and other programs.
