This position is located in the Geriatrics and Extended Care Service within the Veterans Affairs Medical Center, Louisville, Kentucky and encompasses an interdisciplinary, multifunctional array of programs and services to meet the needs of chronically-ill patients, so they may remain in their own homes. The person in this position will serve as a Program Support Assistant under the administrative supervision of the GEC Administrative Assistant.
Duties
This position will serve as a Program Support Assistant under the administrative supervision of the GEC Administrative Assistant. Programs within the Geriatrics and Extended Care Service included: Home Based Primary Care (HBPC), Home and Community Based Services(HCBS), Homemaker/Home Health Aide (HM/HHA), Hospice and Palliative Care (HPC), Contract Nursing Home (CNH), Care Coordination / Home Telehealth (CC/HT), Adult Day Health Care (ADHC) and Program and the Medical Care Foster Home Program.
Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation.
Performs data entry and other data processing tasks. Responsible for completeness, accuracy, and accessibility of data for analytical purposes.
Manages database for data entry of demographic data, provider-specific clinical data, historical data, and patient-related data.
Prepares, executes, and/or tracks program specific information, such as meeting minutes, average daily census reports, FOIA requests, congressional inquiries, and contract data within the service.
Uses software applications to draw information, e.g., from the Computerized Patient Record System (CPRS), Veterans Integrated Support and Information Application (Vista), Microsoft Access, Excel, and Outlook.
Also monitors the VA Electronic Contract Manager System (eCMS) in order to prepare/assist in preparation of reports
Assists in the acquisition, development, and/or scheduling of program resource materials and personnel, such as hard copy and computer-based brochures and reports, agency staff and/or volunteer personnel, and/or needed program equipment such as telephones, computers and printers, fax machines, etc. Monitors all aspects of the operating programs and makes recommendations to improve or modify methods for disseminating information to intended audiences.
In person or on the telephone, employees maintain a pleasant and helpful attitude when dealing with professional and non-professional staff, co-workers, applicants, supervisors, management, union representatives, government representatives, and the general public.
Design, delegate, and monitor office procedures that support patient care, thus freeing the clinical providers as much as possible to provide direct patient care.
Employees serve as alternate timekeepers and coordinate the employee clearance process in the absence of the timekeeper.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience using of a variety of personal computer applications, including word processing, spreadsheet applications, database files, presentation software; experience collecting and gathering data for reports and updating spreadsheets; experience preparing documents for review; coordinating, planning, and organizing administrative duties for a clinical office; experience communicating orally and in writing; providing customers with consistent information according to established policies and procedures..

Physical Requirements: The work requires some walking, bending, stooping, and light lifting for obtaining files or copies of reports. May require sitting for prolonged periods for data entry and record keeping.
