The Program Support Assistant (PSA) serves as Residency Coordinator for the Surgical Service Residency Program. The PSA is responsible for ensuring all educational requirements are met and meet the mandatory training requirements to issue appropriate computer access. The PSA serves as an Information Management Coordinator and process Resident and Medical Students Electronic Permission Access System (EPAS) requests to request computer access and make changes to computer accounts as appropriate.

Duties

Serves as residency coordinator ensuring all educational and mandatory training requirements are met to issue appropriate computer access. Ensures that the clerical and administrative work of the service conforms to the established policy and procedures. Serves as an alternate timekeeper for the surgical service responsible for electronic timekeeping, posting of leave, identifying errors and conflicts and correcting any exceptions as they may occur. Supports efforts of surgical service to provide information to patients in a timely and efficient manner. Receives and screens visitors and telephone calls, i.e., identity, purpose of call and relative importance in relation to availability of staff members. Serves as point of contact to ensure all surgical residents receive appropriate access to computer files, processed for scrub codes, pagers and dictation codes. Provides data collection for the clinical programs, data analysis and forms creation/completion for the program. Reviews medical records and runs reports from data sources to track service performance measures and quality management indicators as directed. Utilizes the latest personal computer word processing database management, spreadsheet programs, and telecommunication technology. Composes correspondences such as letters, memos, and similar documents and distributes accordingly. Creates and maintains Excel spreadsheets, graphs, and power point presentations for leadership and other staff. Develops agendas, records surgical meeting minutes and other meeting minutes and prepares appropriately formatted typed minutes. Work Schedule: Monday through Friday 8:00 am to 4:30 pm. Tour of duty subject to change by supervisor based on facility needs. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/20/2024. Time-In-Grade Requirement GS-06: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Proficient with Excel, Microsoft Word, and computer database systems Strong verbal and written communication skills Experience with taking meeting minutes and making meeting agendas Timekeeping experience You will be rated on the following Competencies for this position: Administration and ManagementComputer SkillsCustomer Service (Clerical/Technical)Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mainly sedentary. However, there will be walking, standing, bending, and carrying and lifting of light items such as packages, files and books, generally of not more than 25 pounds. The employee must be able to adapt and produce a large volume of work under stressful situations associated with unplanned assignments and deadlines.
