The VA Greater Los Angeles Healthcare System is seeking an Administrative Support Assistant within the Ambulatory Care Services.
Duties
Facilities and Administrative Support
Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the activities of the Veteran Experience Office.
Performs research functions, including file or database searches, and research various publications to extract, summarize, and compile information required for the activities for the Veteran Experience Office.
Arranges, composes, and handles correspondence for meetings associated with the respective programs, and maintains minutes of those meetings as needed.
Receives visitors and incoming calls, responds to request for information and/or matters when information is available in office records and/or files.
Serves as the ADPAC, TMS Coordinator, and PIV Sponsor for the Veteran Experience Office and Ambulatory Care Services as needed.
Develops (but not limited to) charts, graphs, tables, and narrative documents such as general reports and create virtual meetings using office software such as Microsoft Word, Excel, Power Point, and Teams.
Accomplishes input to the automated VA Time and Attendance System for personnel assigned to Time and Leave Units.
Public Affairs
Tracks and manages the flyers and other promotional documents for GLA internal events and general information.
Reviews and/or drafts revisions of regulations and/or policy on administrative matters and disseminates information to the office personnel concerning policies, plans, procedures, methods, and actions of an administrative nature.
Environment of Care (EOC) Liaison and Subject Matter Expert
Performs rounds with the EOC team and tracks deficiencies/resolutions in the automated system.
Develops procedures and systems for establishing, operating, and assessing the effectiveness of operating programs/ and the accomplishment, evaluation, and/or monitoring of audits, inspections, of management or internal control reviews.
Supplies Management and Monitoring
Pick-ups and deliveries, inventories and estimated usage, ordering and procurement.
Prepares and reviews purchase order for supplies and non-expendable property such as equipment, to include personal computer hardware and software and other specialized equipment necessary to the effective functioning of the office.
Equipment Inventory Listing (EIL) Management
Performs the EIL audits with Logistics guidance, assists in processing Work Orders for equipment and equipment acquisition

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communicating and treating customers (veterans, their representatives, visitors, and all VA staff) in a courteous, tactful, and respectful manner; Utilizing office software such as Microsoft Word, Excel, Power Point, and Teams to develop (but not limited to) charts, graphs, tables, and narrative documents such as general reports and create virtual meeting; Preparing procurement requests, evaluating proposals for work, and maintaining procurement and contracting records; Resolving administrative problems by researching office files, historical data etc., withdrawing material for use in preparation of typed material and/or furnishes administrative advice on the adequacy and feasibility and recommendation.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work. During Environment of Care rounds, the Administrative Support Assistant will be required to walk throughout the Ambulatory Care Center, which includes stairs.
