This position is located in the Department of Homeland Security, United States Coast Guard, Surface Forces Logistics Center, Industrial Operations Division, Norfolk, VA.

Duties

Provides administrative support to the SFLC, Industrial Operations Division (IOD). Performs the full range of procedural work of the office to coordinate clerical support and to organize the flow of clerical processes in the office.Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include:- Carrying out special projects, including reports and publications, assembling same into comprehensive documents, with backup material and producing the finished product.- Controlling suspense items by maintaining record of receipt, assignments and tickler files for follow-up.- Performing work related to the management and composition of correspondence. Processing incoming and outgoing materials such as mail, email, memorandum, instructions, forms and other types of written communication.- Composing letters and reports and reviewing correspondence for accuracy and completeness.- Receiving visitors and telephone calls to the office and making determination as to nature of requests and directing callers to appropriate staff.- Maintaining supervisor's calendar, recording all appointments, meetings and other commitments.- Responding to routine and non-technical requests for information such as status of reports, suspense dates for matters requiring compliance and similar information readily available from files.- Possessing a proficiency with Microsoft Office applications, specifically Word, Excel, Outlook, and PowerPoint. Possessing the ability to provide examples of their ability to integrate graphics/imagery if selected for an interview.- Possessing experience/proficiency in the logistics of arranging meeting and conferences including travel arrangements, agenda review, and resource coordination.

Requirements

  • U.S. Citizenship is required.
  • Requires 40 words per minute typing speed.

Qualifications

Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work. Candidates must posses one year of specialized experience equivalent to the GS-6 level in the Federal service Specialized experience is experience which has equipped the candidate with the knowledge, skills, and ability to successfully perform the duties of the position to be filled. Specialized experience for this position is defined as experience performing general administrative duties that required a knowledge of practices and requirements governing personnel, budget, travel, supplies, filing, etc.National Service Experience (i.e., volunteer experience): Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.The Office of Personnel management (OPM) must authorize employment offers made to current or former political appointees.  If you are currently, or have been within the last 5 years, a political Schedule A, Schedule, C, Non-career SES or Presidential Appointee employee in the Executive Branch, you must disclose this information to the Human Resources Office.
